Inside Sales and Customer Support

General Description

Provide administrative and operational support to customers, sales team, and the various functional and transversal areas of the organization, to ensure efficient execution of commercial activities, while also supporting the office's day-to-day operations. This role will be developed on a team with a highly collaborative spirit in which, despite their autonomy, they will have the ability to help each other and substitute when applicable and/or necessary (absences, workload peaks, etc.).

 

Main Responsibilities

Sales Support:

- Responsible for monitoring and submitting public tenders on the appropriate platforms (Eg. VortalGov, Acingov, etc).

- Registering and qualifying leads by collecting and forwarding it appropriately depending on the information gathered;

- Create and keep up-to-date websites for sharing information with Customers and Distributors, as a way of making the Hygienisation Operating Manuals (MOH) or relevant information (Technical Sheets, Mini-Guides, Photos, etc.) available digitally. (SharePoint)

- Providing administrative support to Sales Teams, Direct Customers or Distributors in Customer-centered operations, such as sending Safety Data Sheets, Technical Data Sheets, Regulatory Declarations, Certifications or relevant information on Products or Promotions.

 

HSE Support

- Administrative support for the HSE area, namely: PPE management; Updating of

information and documentation relating to the Technical and Sales team, Diversey and its subcontractors in the area of HSE; Follow up on Customer Questionnaires and respective responses to requests for HSE documentation requests for HSE documentation; Managing and updating our Customers’ safety document platforms (E-Coordina, etc).

 

TASKI Support

- Provide administrative support to the TASKI area by updating the TASKI Machine Booking and TASKI van at the Training Centre, the appropriate reservations received;

- Gathering and sending to Customers the record of verification and maintenance of Scrubber Driers.

 

IT Support

- Support IT by receiving and forwarding mobile phones, computers and peripherals;

 

Office Support

- Taking care of the image and ensuring the operability of Diversey's common facilities and its daily operations, namely:

- Mail handling;

- Answering and routing incoming calls;

- Acquiring and guaranteeing the provision of services, managing the stock of consumables and the smooth running of equipment necessary for daily operations (e.g. Courier service, Office Supplies, etc.);

- Creating Purchase Orders or Requisitions in Ariba;

- Ensuring that visitors to the facilities are properly received and directed;

- Ensuring that the various meeting spaces are suitable for the intended purpose;

- Coordinating and supporting the organization of general Diversey events

Job Requirements

- Degree level qualifications (preferred) in Sales and Commercial Management or Administrative Management (or similar), OR relevant professional experience;

- Good computer skills (Microsoft, specifically: Excel, Sharepoint, Powerpoint) as well as being comfortable using virtual/web platforms. Knowledge of tools such as CRM – Salesforce, VortalGov, E-Coordina will be valued;

- Aptitude/interest in identifying and developing process improvements using IT tools

- Strong written and verbal communication skills, particularly in a virtual environment, with the ability to maintain a level of attention to speech while taking notes

- Strong administrative skills

- Portuguese native speaker and fluent in English.
