Summary

The Records and Qualifications Specialist I (RQS-I) is responsible for daily paper and electronic recordkeeping of employee training/qualifications documentation. On a daily basis, the RQS is responsible for ensuring that all electronic and paper records are accurately maintained and current. The RQS is cross-trained and facilitates records compliance between all operational departments. Additionally, this position may assist with scheduling new hire training events to ensure compliance with all FAA approved training manuals and company policies.

Minimum Requirements

Combination of Education and Experience will be considered. Must be authorized to work in the US as defined by the Immigration Act of 1986. Must pass a Criminal Background Check.

Education:  High School Diploma/GED

Education Details:  

High School Diploma or equivalent, Associates Degree preferred.

Years of Experience:  

Minimum one (1) year experience with airline and aviation-related documentation systems or recordkeeping/data entry and auditing experience in a similar industry.


•Ability to work well with others and communicate effectively with people at all levels.

•Professional demeanor, excellent written, verbal and presentation skills.

•Proficient in the use of Adobe Acrobat and Microsoft Office Products.

•Proficient in the use of electronic recordkeeping systems.

•Knowledge of FAA regulations and related requirements.

•Ability to wear Personal Protective Equipment (PPE) (high visibility clothing, ear protection, safety glasses, face mask) when required.

•Minimal travel may be required.


Preferred Requirements

•Associates Degree and/or equivalent work experience preferred.


Job Duties

•Handles daily administration and processing of training records for Allegiant employees, contract employees, and outsourced service providers in the following departments: Flight Operations, Maintenance, Inflight, Stations, and Dispatch.

•Collects, verifies completion, reports in databases, prepares FAA required reports, Pilot Records Improvement Act of 1996 (PRIA) reports to other air carriers. Serves as the super user and performs user acceptance validation for all training related systems to include record keeping, qualifications, and on boarding document handling.

•Ensures that documentation of all applicable categories has been completed and received by the Records and Qualifications department as well as quality checking documentation.

•Verifies and audits regulatory required documents as well as requisite licenses, permits, and certifications.

•Tracks and monitors the minimum FAA requirements for all Allegiant Employees.

•Performs daily quality assurance of all incoming electronic training records.

•Provides phone, JIRA, and email support to all employees inquiring about records and qualifications.

•Conducts quarterly self-audits for all operational workgroups in accordance with the Records Policies and Procedures Manual (RPPM).

•Ensures all training records are updated in the approved qualification system.

•Conducts quality control checks for all submissions of training records.

•Records and maintains training history in the learning management system as applicable, including but not limited to creating accounts and tracking initial/recurrent training completion.

•Manages GSC training records for Allegiant and service provider employees.

•Prepares training materials and ensures timely delivery of all materials required to the appropriate locations when applicable.

•Conducts weekly/monthly reports on compliance, as required.

•Responsible for keeping an accurate TSA Master Crew List.

•Prepares paper and electronic records upon request for auditors.

•Models Allegiant’s customer service standards in personal actions and when providing direction.

•Other duties as assigned.

Office - While performing the duties of this job, the Team Member is regularly required to stand, sit, talk, hear, see, reach, stoop, kneel, and use hands and fingers to operate a computer, key board, printer, and phone. May be required to lift, push, pull, or carry up to 20 lbs. May be required to work various shifts/days in a 24-hour situation. Regular attendance is a requirement of the role. Exposure to moderate noise (i.e. business office with computers, phones, printers, and foot traffic), temperature and light fluctuations. Ability to work in a confined area as well as the ability to sit at a computer terminal for an extended period of time. Some travel may be a requirement of the role.


Essential Services Provider

Allegiant as a national air carrier is deemed an essential service provider during declared national and state emergencies. Team Members will be required to report to their assigned trip or work location during national and state emergencies unless prohibited by local, state or federal order.
