The Role
The Press Coordinator will work closely with the Director of Communications and serve as an integral member of the communications team. This person will provide crucial administrative support, support press efforts for NYC-based performances, company tours, education programs, and institutional initiatives Key duties include servicing the press and establishing new media contacts, writing and assisting with all press materials, supporting photography shoots, helping to manage the press database, providing support at rehearsals, press previews, and seasonal galas, tracking weekly media coverage, and additional duties as assigned The coordinator position requires a high level of professionalism, good instincts, confidentiality, positive energy, and a can-do attitude. Excellent written, interpersonal, problem-solving, and organizational skills are required.
Specific Responsibilities- Updating press email lists and database in Salesforce
- Tracking and indexing press clippings weekly; social media monitoring of earned media coverage
- Assist in maintaining and distributing press releases, photographs, and videos to outside organizations.
- Assist with press needs at all performances (NYC and on tour).
- Travel with the dancers collaborates with regional publicists, work with on-site communications departments and assist in troubleshooting any issues.
- Develop and maintain a “friends of ABT” database for each city ABT performs.
- Providing onsite support during performances, company tours, and galas.
- Servicing media requests for images and other assets
- Assisting with the maintenance and updating of the ABT website
- Assisting with indexing and organization of press-approved images, including insuring proper captions and credits are noted
- Responding to press requests via telephone and email
- Coordinating photography shoots at ABT studios, including liaising with internal departments as necessary
- Coordinating performance visits for media
- Creating presentations and agendas for meetings; note-taking at meetings
- Scheduling of team meetings
- Ordering supplies and other materials for the department
- Assist in the development of public programs that highlight the schools, leadership, teachers, students, and special events.
- Ensure that interns are engaged, assist on projects, have ownership of projects, assist with visiting media (photographers, crews), help with weekly press clippings, and interview dancers for future publicity activities.
Position Qualifications- B.A. (marketing, journalism or communications degree preferred)
- Internship experience working in arts or non-profit communications
- Excellent oral and written communication skills
- Knowledge of or interest in ballet and or dance
- Proficiency in Microsoft Word and Excel required; knowledge of PowerPoint, Salesforce a plus
- Extremely organized, attentive to detail, and able to manage and prioritize multiple projects in a fat-paced environment
- Excellent telephone manner and interpersonal skills
- Demonstrated ability to work productively with press, staff, and artists
- Must be an adept problem solver and multi-tasker.
- Collaborative team player – energetic, enthusiastic, positive, and personable – with the ability to build relationships with stakeholders including media, staff, and dancers.
- A passion for and knowledge of the performing arts is a plus.
