Job Description

We are seeking an organized, detail-oriented, and proactive Operations Administrator to join our team. This role plays a critical part in supporting the efficient day-to-day operations of the company. The successful candidate will assist in streamlining operational processes, managing administrative tasks, and ensuring smooth communication across departments.

General responsibilities include but are not limited to::

  • Assist in the management of day-to-day operations by coordinating workflows, schedules, and resources.
  • Monitor key operational processes to ensure they are functioning smoothly and efficiently.
  • Assist with project coordination and management
  • Prepare and file reports, documents, and other relevant operational materials.
  • Perform general office management tasks, including filing, organizing, email management and maintaining records
  • Serve as a liaison between departments, ensuring effective communication and timely issue resolution.
  • Organize and schedule internal meetings, track follow-up items, and ensure deadlines are met.
  • Handle general office administrative duties, including filing, data entry, and document preparation.
  • Conduct data entry and maintain accurate databases
  • Provide administrative support to the Operations Manager/Director and other team members as needed.
  • Manage correspondence (emails, calls, etc.) related to operations.
  • Coordinate and schedule meetings, appointments, and travel arrangements
  • Maintain a high level of confidentiality

Qualifications

  • Bachelor's degree preferred

  • 3+ years experience in a similar role 

  • Strong problem-solving skills and attention to detail.
  • Strong computer literacy, including proficiency in Microsoft Office Suite
  • Excellent organizational skills and attention to detail
  • Ability to multitask and prioritize tasks effectively
  • Strong written and verbal communication skills
  • Knowledge of phone systems and phone etiquette
  • Familiarity with project coordination techniques
  • Experience with data entry and database management
  • Experience with enterprise resource planning (ERP) systems or other operational software.
  • Excel experience is required
