As the Business Operations and Marketing Coordinator, you will be the backbone of our daily operations, ensuring our internal processes run smoothly, supporting our creative team, and consistently sharing our voice across various platforms.

Key Responsibilities:
Administrative & Operations (25%)
- Manage calendars, appointments, and team scheduling for meetings, production schedules and project management.
Oversee client onboarding/offboarding processes. - Maintain backend systems, including contracts and digital filing.
- Troubleshoot tech issues and support tools like email, Slack, Airtable, and Zoom.
Project Management (35%)
- Track deliverables and timelines across multiple projects.
Manage Asana or Trello boards to ensure accountability. - Coordinate team meetings with staff and contractors, assign tasks, and maintain workflow clarity.
Content Scheduling & Marketing Support (25%)
- Schedule and repurpose social media content (Instagram, LinkedIn, etc.).
- Write or adapt captions from transcripts and project content.
- Support email marketing via platforms like Mailchimp or Flodesk.
Client Communications & Inbox Management (15%)
- Respond to general inquiries and FAQs.
- Manage DMs and inbox communication with professionalism and warmth.
Confirm client meetings and provide reminder follow-ups.
Work Schedule & Availability
This is a remote position. However, we require that team members be available for collaboration and meetings between 9:00 AM and 3:00 PM PST, Monday through Friday. While you can complete work on your schedule outside of these hours, this core availability window ensures smooth communication, team alignment, and client responsiveness. We value flexibility, but we also depend on shared availability to maintain project flow and team cohesion. There are also occasional in-person client events and meetings.
- 1-2 years of experience in project coordination, marketing, or business operations—ideally within an agency or government setting.
- Innate sense of structure and clarity in how you manage time, systems, and information.
- Meticulous attention to detail with an ability to multitask and follow through.
Proficient in Google Workspace,Monday, Slack, Asana/Trello, and email marketing tools. - Strong writing and copyediting skills.
- A proactive and resourceful problem-solver.
- Committed to social justice, community storytelling, and equitable practices.
- Takes the lead in seeing that campaigns, tasks, etc, are completed, delivered, and communicated
