Job Description

Job Purpose:

  • The Property Assistant plays a key role in supporting the management of commercial real estate properties. This position is responsible for assisting with daily operations, tenant relations, lease administration, tenant events, and property maintenance. A customer service-oriented approach is essential, ensuring a positive experience for tenants and a well-maintained property.

Key Responsibilities:

  • Tenant Relations & Customer Service:
    • Provide exceptional tenant service, responding to inquiries and requests in a timely and professional manner.
    • Generate and assign work orders to vendors or maintenance staff, following up to ensure prompt resolution.
    • Plan and execute tenant events with the goal of fostering community within the property and tenants.
    • Maintain 24-hour emergency coverage to address urgent property issues.
  • Property Operations & Maintenance:
    • Ensure all areas of the property, including suites, conference rooms, front desk, and common areas, are well-maintained and presented professionally.
    • Monitor operational systems, escalating issues to management or vendors as necessary.
    • Coordinate property maintenance, repairs, and inspections with third-party vendors.
    • Develop strong relationships with building asset management and engineering teams to ensure compliance with building regulations.
  • Financial & Lease Administration:
    • Process monthly invoices accurately and ensure all billable charges are captured.
    • Oversee collections to minimize outstanding payments and bad debt, working closely with the Property Management team on accounts receivable issues.
    • Approve vendor invoices, ensuring timely payment and correct coding, and rebill tenants when applicable.
    • Assist with financial reporting and liaise with the accounting department to meet monthly reporting deadlines.
    • Obtain vendor quotes for required building work in compliance with company standards.
  • Marketing & Leasing Support:
    • Maintain a strong understanding of the company's property portfolio, available spaces, and related marketing initiatives.
    • Assist with suite customization requirements and tenant improvements as needed.
    • Support leasing efforts by coordinating with brokers and providing property information to prospective tenants.
  • Administrative & Compliance Responsibilities:
    • Ensure adherence to company policies and procedures while adapting to new initiatives.
    • Review and approve purchase orders and invoices within the accounts payable system.
    • Maintain accurate and organized property records, including leases, contracts, and compliance documentation.
    • Additional responsibilities as required.

 

Qualifications

  • Qualifications & Skills:
    • Education: Bachelor's degree in real estate, business administration, or a related field (preferred).
    • Experience: 2- 3+ years of experience in property management, hospitality, or a related field.
    • Technical Skills: Proficiency in property management software and Microsoft Office Suite.
  • Core Competencies:
    • High standard of customer service excellence.
    • Strong written and verbal communication skills.
    • Excellent organizational skills and attention to detail.
    • Ability to multitask and work efficiently under pressure.
    • Flexibility to work outside core hours as needed.
  • Working Environment:
    • Position Type: Full-time, non-exempt.
    • Core Hours: Monday – Friday, 8:15 AM – 5:15 PM (in-office role).
    • Location: King Street Station, 1800 Diagonal Road, Suite 600, Alexandria, VA 22314.
    • Physical Requirements: Ability to lift and move up to 50 pounds as needed.
    • Additional Hours: May be required for tenant move-ins/move-outs, events, and emergencies.

  • Compensation & Benefits:
    • Salary Range: $24.04 - $26.44 per hour + benefits + annual bonus (based on performance and company profitability).
