We are looking for a dynamic Executive Assistant to join our team. The Executive Assistant will provide administrative and analytical support to the OUSD P&R Department of Defense/Veteran’s Affairs Collaboration Office (DVCO). Support includes calendar management, scheduling, daily read book, call management, etc.. They will regularly collaborate and coordinate with stakeholders within the Department of Defense (DoD) and with other government agencies to manage cross-cutting tasks.
The work location of this position is at the Pentagon daily.
Responsibilities
- Serve as the primary administrative and executive support for the SES Director, ensuring seamless calendar management, scheduling, and coordination of high-level meetings with senior government officials, congressional members, and external stakeholders
- Exercise independent judgment and discretion in prioritizing leadership engagements, scheduling meetings, and handling sensitive communications on behalf of the Front Office
- Manage and maintain the SES Director’s schedule, resolving conflicting priorities and orchestrating changes as needed, including coordination with senior government personnel and congressional staff
- Provide critical administrative support to Federal Government leadership, completing high-visibility and short-turn assignments with minimal oversight
- Prepare daily and weekly read-ahead books for leadership, ensuring timely access to critical information and maintaining electronic and paper records of all office correspondence, memos, reports, and briefing materials
- Manage correspondence and track tasks using the Correspondence and Task Management System (CATMS) as needed
- Coordinate and confirm logistical support for meetings, including transportation, security clearances, badge processing, and audiovisual arrangements; serve as an escort for VA-DoD meetings and conferences, requiring extended walking distances within the Pentagon
- Provide visitor management and office reception services, facilitating interactions with external parties and addressing inquiries
- Oversee office security administration, office space management, processing security clearance and visit requests, scheduling office events, and ordering supplies
- Support operational services and knowledge management, including file consolidation and organization on network-based applications
- Perform quality assurance (QA) on deliverables such as briefing materials, reports, and official correspondence
- Arrange domestic and international travel accommodations for the SES Director, ensuring compliance with government travel regulations
- Serve as the office manager overseeing office supplies, vendor relations, and procurement to ensure a well-functioning office environment
- Manage and transport burn bags to the designated disposal location within the Pentagon
- Other responsibilities as assigned
Requirements
- Active Top Secret Clearance is required
- Bachelor’s Degree in business, finance, health, political science, human resources, or a related field is required
- A minimum of three (3) years of relevant administrative experience
- Physical Requirements: Ability to frequently escort personnel within the Pentagon, which requires navigating the facility, extended periods of walking, and being on your feet for prolonged durations. Reasonable accommodations will be provided as needed.

Desired Skills
- Previous military experience or experience supporting the Federal Government
- Experience supporting or working with the Department of Veterans Affairs
- Experience as a federal executive assistant
- Experience working in or supporting the Office of the Under Secretary of Defense
- Self-motivated and does not require detailed management oversight
- Experience providing customer service support
- Ability to maintain consistent performance in a dynamic environment with shifting priorities
- Effective communication skills with the ability to maintain good working relations with diverse groups
- Organized with strong attention to detail
CATHEXIS offers competitive compensation packages to all eligible employees. Our goal is to provide a compensation package that reflects the value you bring to our team, is competitive with market rates, and promotes your financial security and personal well-being. The annual salary range for this role is $95,000- $110,000. Please note that the salary information provided is a general guideline. CATHEXIS considers various factors in its final offer, including location, qualifications, experience, and skills.
