We are seeking a highly organized and experienced Executive Assistant to support our President and CFO. The ideal candidate will have a minimum of 5 years of experience supporting C-suite executives and be proficient in using technology, including project management tools. This role requires exceptional project management capabilities, attention to detail, and an ability to take ownership of various workstreams.
Key Responsibilities:
Scheduling Management: Efficiently manage and coordinate the calendars of the CEO, CFO, and COO. Schedule meetings, appointments, and events to ensure optimal time management.
Communication: Draft, review, and send communications on behalf of the executives. Act as a primary point of contact for internal and external communications, demonstrating strong representative behavior and professionalism.
Meeting Preparation: Organize and prepare for meetings, including gathering necessary documents and attending to all logistical details to ensure meetings run smoothly and efficiently.
Email Management: Prioritize emails, respond when necessary, and manage the executives' inboxes to ensure important communications are addressed promptly.
Record Maintenance: Maintain various records and documents for the executives, ensuring they are organized and easily accessible.
Travel Coordination: Organize and manage complex travel arrangements, including booking flights, hotels, and transportation.
Project Management: Utilize project management tools to track and manage various projects, ensuring timely completion and follow-up. Proactively manage tasks and communication to keep all stakeholders informed.
Gatekeeping: Field various requests and prioritize tasks to protect the executives' time and focus on strategic initiatives.
Administrative Tasks: Handle administrative duties such as expense reporting, document preparation, and meeting minutes.
Personal Assistant Tasks: Handle some personal assistance tasks as a back up to primary personal assistant.
Ownership: Take initiative and ownership of assigned workstreams, ensuring thorough and detailed execution.
Confidentiality: Maintain strict confidentiality and professionalism in handling sensitive information and communications.
Task Management: Keep track of a large volume of tasks without letting anything slip through the cracks. Think through tasks and ensure no components are missed, demonstrating strong attention to detail.
Skills and Qualifications:
- Minimum 5 years of experience supporting C-suite executives.
- Proficiency with technology and project management tools.
- Excellent written and verbal communication skills.
- Strong time-management and organizational skills.
- Strong project management skills with a proven ability to manage complex tasks, ensuring they are completed on time.
- Detail-oriented and able to think tasks through to ensure no components are missed.
- Demonstrated ability to take ownership and manage workstreams independently.
- Experience in travel booking, calendar management, and fielding various requests.
- Excellent interpersonal skills, communication and representative behavior.
- Proven ability to maintain professionalism and strict confidentiality.
