The Position
The Cash Applications Manager will be responsible for overseeing and managing the daily cash applications processes, including application of incoming payments to customer accounts, reduction of unapplied cash, prompt and accurate response to customer inquiries and ensuring that the bank statements and Zuora, our system of record, remain aligned. There are two teams within cash applications that the manager will be responsible for: the bank reporting team, which is responsible for applying incoming EFT, lockbox and credit card payments against the correct customer invoices, and the customer support team, which is responsible for responding to customer inquiries via a Salesforce case management system. The cash applications team is also responsible for the reduction of unapplied cash, and the timely return of customer funds in connection with incorrect or over-payments. In performing his/her duties, the Cash Applications Manager will need to be proficient at leading teams, collaborating across other cross-functional teams within Quench, appropriately researching and resolving customer escalations, reconciling and balancing the team’s daily processing against the bank records, evaluating and implementing continuous improvement opportunities and identifying gaps and recommending solutions.
Essential Functions
· Oversee the daily cash applications processes and help resolve any identified escalations
· Review daily balancing file to support monthly close sign-off
· Use metrics to track case queue backlogs, team performance, match rates, etc.
· Drive adherence to 2-day SLA (service level agreement) on cash posting and case closures
· Reduce unapplied cash
· Escalate issues early to reduce response/resolution time
· Support year-end audit requests
· Collaborate with third party vendors to improve exception success rate
· Collaborate with internal, cross-functional business partners
· Respond to customer escalations and see through to resolution
· Develop and oversee other process improvement or cash application-related ad hoc projects, as necessary
Qualifications
· Minimum five (5) years’ experience in cash applications or equivalent role
· Leadership experience preferred
· Ability to manage priorities and workflow; lead team to accomplish goals and set priorities
· Proven ability to handle multiple project and meet deadlines
· Strong proficiency in Excel and other MS Office Suite products
· Salesforce / Zuora experience a plus
· Solid understanding of accounting / billing concepts
· Strong research skills and attention to detail
· Extremely organized with strong data entry skills
· Customer service experience a plus
· High degree of professional integrity; really cares about getting the right answer
· Strong written and verbal communication skills
