DWA is seeking a highly organized and proactive Executive Admin and project Support Coordinator to provide direct support to our Leadership Team while ensuring smooth coordination across client projects, internal operations, and community-facing events. This role blends executive administrative support, project management, and event logistics, requiring someone who thrives in a fast-paced consulting environment.

Executive Support
- Provide high-level administrative support to the Leadership Team, including calendar management, meeting coordination, travel arrangements, and email communications.
- Draft, review, and organize presentations, proposals, and internal documents.
- Maintain organized digital files, project notes, and meeting summaries.
Project Coordination
- Support project planning, scheduling, and task tracking across client engagements.
- Coordinate client communications and ensure follow-up on action items and deliverables.
- Manage recurring internal team meetings, including agenda preparation and action item tracking.
- Support operational tasks such as timesheet reminders, invoice reviews, and contractor coordination.
Event and Community Engagement Planning
- Assist in the logistical planning and execution of virtual and in-person events, including workshops, client retreats, public engagement sessions, and community forums.
- Coordinate with venues, vendors, speakers, and participants to ensure seamless event delivery.
- Prepare event materials such as agendas, name tags, and attendee communications.
- Track event-related tasks and timelines to ensure all logistics are executed on schedule.
Other Responsibilities
- Support onboarding of new hires, including internal comms, logistics, and scheduling.
- Assist in the implementation of internal culture initiatives (e.g., team check-ins, recognition systems)

Requirements
- 2+ years of experience in administrative support, project coordination, or event logistics.
- Familiarity with Airtable
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and prioritize deadlines independently.
- Proficiency with Google Workspace.
- Excellent written and verbal communication skills.
- Comfortable learning and using AI tools to improve workflows.
- Experience supporting meetings, onboarding processes, and maintaining digital records.
- Must reside in the Charlotte Area for hybrid in-person support.

This part-time contractor role is estimated at approximately 10-15 hours per week.
Availability during standard business hours (9:00 AM – 5:00 PM EST) is required to support the leadership team and clients.
