This role is part of our Creative & Media team based in Rotterdam and Amsterdam. Our team is a vibrant mix of talents, ranging from Creatives, Influencer Marketers, Brand & Content Strategists to Account Managers, Programmatic and Marketing Automation Consultants. Together, we blend imaginative storytelling and performance-driven strategies with cutting-edge technology to create engaging digital experiences that build lasting relationships with our clients like Netflix, Canva, Foot Locker, Philips & Biscoff. 

JOB PURPOSE

If you are the ultimate smooth operator, someone who’s capable of perfectly overseeing all projects and knows exactly what they need from an administrative point of view, then we are looking for YOU!

As a (Medior) Project Management Officer, you’re the right hand of the client team, and managing the project administration of some of our clients is what you do best. You make sure that all projects are administered in the right way in our tools and systems, you analyze (budget) pacing, and master the invoicing process. Being this smooth isn’t everyone’s strong suit — but you’re not everyone. You need to be a proactive thinker who enjoys problem-solving, communicating with non-financial stakeholders, and being a team player.

KEY RESPONSIBILITIES

  • Be the right hand of the project manager within the client service teams of different projects/clients where you monitor budgets, planning, processes, and keep track of the progress of the overall project
  • Oversee the PMO activities and prioritization of tasks, and coordinate these between multiple teams
  • Set-up, implement and keep track of client team templates - hour pacing, finance sheet, and spend tracker
  • Be the central point of contact for the internal key stakeholders across the project/clients
  • Manage the project administration in our DEPT® Apps project administration for your clients. This includes creating projects, adding order lines in line with signed contracts, attaching signed contracts/PO documents to the order lines, and adding budgets in DA
  • Be responsible for the invoicing process for your clients (create (credit) invoices, review & approve invoices, and follow up on overdue invoices). This includes creating intercompany order lines and budgets
  • Check over underrun and false bookings on projects, supplier invoices, and costs - as well as assist with the monthly invoicing and closing process
  • Challenge existing ways of working and implement improvements where necessary

  • Fluent in English
  • Experience in project administration
  • Ability to work independently and in a team
  • You are confident and assertive in expressing your ideas and opinions
  • Quick grasp of tools like Salesforce or other project management tools
