The Creative Resource and Studio Manager plays a key role in the successful delivery of work within a design studio environment. This person ensures that creative teams are well-resourced, projects stay on track, and studio operations run smoothly. Acting as the connective tissue between designers, strategists, leadership, and vendors, the Creative Resource and Studio Manager keeps the pulse of the studio, enabling great design to happen efficiently and sustainably.
· Allocate internal and freelance creative talent (e.g., designers, strategists, illustrators, animators) based on project timelines, skills, and priorities.
· Maintain and update studio schedules and traffic systems to reflect current and upcoming project needs.
· Anticipate resourcing gaps or bottlenecks and collaborate with team leads to address challenges before they impact delivery.
· Source, onboard, and manage relationships with freelancers and external partners, ensuring quality, budget, and brand alignment.
· Work closely with client service team and creative leads to ensure projects are adequately staffed, scoped, and supported.
· Champion the use of client service team and workflow tools (e.g., ClickUp) and ensure the team is trained and up to speed.
· Track freelance and vendor spend against budget, manage purchase orders, and liaise with finance for accurate reporting.
· Coordinate with other studio teams (global or local) to balance workloads and share resources where needed.
· Lead regular planning check-ins and facilitate proactive communication around project timelines, PTO, and capacity planning.
· Identify opportunities to optimize studio operations and propose scalable solutions.
· Oversee basic studio needs such as supplies, catering, maintenance coordination, and overall space management.
· Ensure access to necessary software, assets, and systems; manage renewals and subscriptions.
· Help onboard new hires, support a positive and collaborative studio culture, and keep the workspace organized and client ready.
· Provide calendar management and scheduling support for the studio managing director.
· Coordinate meetings, prepare agendas, and take meeting notes as required.
· Arrange travel and accommodation for key personnel.
· Assist with expense reporting and budget tracking for leadership-related activities.
· Handle confidential information with discretion and professionalism.
· Support managing director with presentation prep, research, and internal communications.
· A systems-thinker with experience in creative environments (branding, design, advertising, or similar).
· Exceptionally organized with a knack for balancing multiple projects and personalities.
· Adept at working across departments and aligning people toward a shared plan.
· Comfortable working in a fast-paced, dynamic studio setting.
· Familiar with creative workflows, budgeting, and resourcing tools.
