About the role:  


We are a dynamic and fast-paced startup seeking a highly organized and proactive Executive Assistant to support our COO. This pivotal role requires a skilled professional who thrives in a startup environment, excels at multitasking, and brings expertise in executive support. As their right-hand person, you will handle day-to-day administrative tasks, ensuring efficiency and helping drive our technology initiatives forward. 


Key Responsibilities:
  • Heavy Calendar Management: Schedule, coordinate, and optimize the daily, weekly, and monthly calendar. Handle meeting requests, prioritize conflicting schedules, and ensure smooth day-to-day operations. 
  • Travel Coordination: Organize complex domestic and international travel, including flights, accommodations, itineraries, and expense reporting. 
  • Meeting Preparation: Prepare agendas, take detailed meeting notes, and follow up on action items. Coordinate technology needs, presentation materials, and logistics for internal and external meetings. 
  • Communication Management: Act as a gatekeeper for email and other communications, ensuring timely responses and clear communication flows
  • Document Handling: Create, edit, and manage confidential documents, presentations, and reports. Maintain organization and accessibility of files and records. 
  • Stakeholder Coordination: Act as a liaison between the executives, internal teams, and external partners. Build relationships with key stakeholders to facilitate seamless communication. 
  • Administrative Support: Assist with ad hoc tasks, special projects, and event coordination as needed. Manage office supplies and ensure the executives have all necessary resources to perform efficiently. 


Qualifications:
  • Experience: 3-5 years of experience as an Executive Assistant, ideally in a startup or fast-paced environment. 
  • Startup Knowledge: Proven ability to adapt and thrive in a dynamic, evolving organization. 
  • Calendar Proficiency: Demonstrated expertise in managing complex calendars and competing priorities. 
  • Communication Skills: Exceptional written and verbal communication skills with a high level of professionalism. 
  • Tech-Savvy: Proficiency in tools like Microsoft Suite, Slack, and Zoom. Experience with project management tools is a plus. 
  • Organized and Detail-Oriented: Strong ability to manage multiple tasks, prioritize effectively, and meet deadlines. 
  • Confidentiality: High level of discretion and integrity in handling sensitive information. 
  • Location Requirement: Must be based in or willing to relocate to Irvine, CA, for in-person work, Monday through Friday.

$90,000 - $150,000 a year
The posted salary range is based on our research for companies of our stage and size while in compliance with California law. However, this is just a base compensation range and we would encourage those who are interested to apply and have an initial discussion.
