Job Title: Dispatch Coordinator

We are seeking a skilled and organized Dispatch Coordinator to manage and oversee the coordination of third-party freight contractors, ensuring timely and accurate delivery of goods to our customers. This role requires a blend of dispatch, clerical, and accounting skills to maintain smooth operations. The successful candidate will be responsible for monitoring freight operations, verifying billing accuracy, and identifying and correcting inconsistencies. Responsibilities:
- Coordinate and schedule shipments with third-party freight contractors to ensure timely deliveries to customers.
- Monitor the status of deliveries, resolving any delays or issues as they arise.
- Review and verify invoices from freight contractors, ensuring billing accuracy and resolving discrepancies.
- Work closely with internal teams and freight contractors to ensure clear communication and smooth operations.
- Maintain accurate records of shipments, billing information, and any related documentation.
- Communicate with customers to confirm delivery details and resolve any issues.
- Utilize dispatch software and other tools to track shipments and manage scheduling.
- Perform clerical duties such as filing, data entry, and maintaining accurate logs of shipments and invoices.
- Ensure compliance with relevant regulations and company policies.
- Assist with other administrative and accounting tasks as required.
- Proven experience in a dispatch or coordination role, with strong knowledge of freight logistics.
- Strong clerical skills with attention to detail and ability to catch billing inconsistencies.
- Basic accounting skills, including understanding of invoice processing and cost tracking.
- Excellent organizational and multitasking abilities.
- Ability to work in a fast-paced environment and manage competing priorities.
- Strong communication skills, both verbal and written.
- Proficient in MS Office (Excel, Word) and dispatch software.
- High school diploma or equivalent (Associate’s degree in Logistics, Accounting, or related field is a plus).
