Position Overview
The Veterinary Referral Coordinator serves as the liaison between Fetch’s team of providers and primary care veterinarians. This key role combines exceptional customer service, a concierge-like approach, and detailed organizational skills to enhance the experience of our referring community. The Coordinator ensures a seamless referral process, providing personalized support to veterinarians, clients, and their beloved pets.
Key Responsibilities
- Referring Veterinarian Liaison:
- Serve as the main point of contact for referring veterinarians and their staff.
- Direct cases to appropriate specialty services and address questions or concerns.
- Act as the primary resource for the rVetLink portal.
- Medical Record Management:
- Audit and ensure completeness of medical records, including exam notes, lab results, and diagnostics.
- Create and send clinical summaries to referring doctors.
- Community Engagement:
- Foster relationships with the veterinary community by identifying and addressing their service needs.
- Partner with the marketing team to organize veterinary education events for referring veterinarians and their staff.
- Client Coordination:
- Facilitate pre-appointment communication with new referral clients to provide a welcoming experience.
- Personally greet and onboard new referral clients during their first visit.
- Conduct post-appointment follow-ups, including requests for feedback and Google reviews.
- Additional Duties:
- Review prescription requests from outside pharmacies.
- Process insurance claims, including verifying coverage and managing documentation.
- Train new hires on referral processes and provide exemplary customer service.
- Collaborate on new initiatives to enhance the referral experience.
Education:
- Associate’s degree or higher in Animal Science, Medical Technology, or Communications preferred.
Experience:
- Required: 3–5 years of experience in the animal health field. Experience in a referral-setting is preferred.
- Proficiency in veterinary medical terminology and procedures.
