Duties & Responsibilities

The Executive Assistant (Contractor) will support the President, Chief Operating Officer and the Senior Leadership Team (SLT) in carrying out the following duties:

  1. Calendar Management:
    • Proactively manage and maintain the calendar of the President, ensuring that all meetings, events, and deadlines are effectively scheduled and optimized.
    • Effectively interact with internal and external stakeholders, customers, and partners to ensure the President's calendar is aligned with business priorities and available time is used efficiently.
    • This includes closely partnering with the President to understand business priorities, shifting demands, and the various stakeholders involved.
    • Travel support: may coordinate and book domestic travel and pro-actively ensure support as needed
  2. Administrative Support for SLT:
    • Provide general administrative support to the SLT, which includes organizing meetings, managing logistics, and helping coordinate communication between internal and external teams.
    • Assist with the preparation of necessary materials for SLT meetings, including agendas, presentations, and follow-up action items.
  3. Organizational Assistance:
    • Organize and maintain common company folders, SharePoint sites, and other document management systems to ensure data is easily accessible and up to date.
    • Coordinate the creation, maintenance, and sharing of files and information across internal teams and with external stakeholders, as required.
    • Anticipate needs, potential issues, and roadblocks, and proactively address them.
    • Provide solutions to streamline workflows and improve efficiency.
  4. Presentation Support:
    • Assist in preparing, adapting, and organizing presentation slides for internal and external meetings, conferences, or other business events.
    • Although the primary responsibility for preparing presentations remains with senior team members, this support will be provided as an additional resource as needed.

Qualifications

  • Bachelor’s Degree required
  • 3 - 5 plus years of experience in providing support to high-level executives at the “C” level suite.
  • Exceptionally organized with keen attention to detail with the ability to shift focus and priorities, when necessary, under pressure and within deadlines.
  • Outstanding verbal and written communication skills; strong ability to inform and engage through written communications.
  • Excellent interpersonal and relationship-building skills.
  • Professional, positive manner, with experience in a role requiring a high degree of confidentiality.
  • Excellent problem-solving skills and resourcefulness; ability to follow-through.
  • Strong work ethic.
  • Energetic, enthusiastic and interested in learning within a fast-paced, fast-growth organization.
