Overview:
The Parts Data Entry Specialist plays a crucial role in ensuring accurate and efficient data management
within the parts department This position is responsible for entering, updating, and maintaining parts
inventory records, processing orders, and assisting in inventory control to support dealership operations.
Attention to detail, strong organizational skills, and proficiency in data entry systems are essential for
success in this role.
Key Responsibilities:
Data Entry & Inventory Management
● Accurately input and maintain parts inventory data into the dealership’s system.
● Update product descriptions, pricing, and stock levels as needed.
● Ensure consistency and accuracy of part numbers, descriptions, and vendor information.
● Verify and reconcile discrepancies in inventory records.
Order Receiving & Vendor Coordination
● Enter purchase orders, sales orders, and purchases are properly received into the system at a profit
center level.
● Track and confirm parts shipments with vendors and update records accordingly.
● Assist in managing backorders, ensuring timely updates and communication with vendors.
Reporting & Quality Control
● Generate inventory reports to help track stock levels and part usage trends.
● Assist in cycle counts and audits to maintain accurate inventory records.
● Identify and correct errors in the current database
● Build and maintain custom reporting that ensures accurate purchasing throughout the organization.
Customer & Team Support
● Support the parts and service departments by providing accurate inventory information.
● Assist in responding to inquiries about parts availability and pricing.
● Work closely with the purchasing and warehouse teams to streamline inventory processes.
● Assist with training and process building for the organization
Preferred Qualifications:
● Knowledge of RV parts and accessories.
● Familiarity with vendor ordering systems and dealership inventory processes.
● Level 4+ Microsoft Excel, Google User highly preferred
● Previous experience in data entry, inventory management, or a related field (RV, automotive, or
powersports industry preferred).
● Strong attention to detail and high level of accuracy in data entry.
● Proficiency in dealership management systems (e.g., Motility) and Microsoft Office Suite.
● Strong organizational and multitasking skills.
● Ability to work in a fast-paced environment and meet deadlines.
● Excellent communication and teamwork skills.
