Office Administrator

We are seeking a highly organized and proactive Office Administrator to join our team at Giant Pumpkin Co., Ltd. The ideal candidate will ensure smooth day-to-day office operations, maintain the office environment, provide administrative support to the executive team, and act as a key liaison between departments and external stakeholders. This role involves handling correspondence, document management, procurement support, and general administrative duties. The successful candidate will also assist with internal compliance and support HR-related tasks when needed.

Job Highlights:

  • Communicate with external parties such as government entities and suppliers.
  • Handle incoming correspondence, scan documents, and maintain organized files.
  • Coordinate and arrange delivery of postage or shipments as required.
  • Supporting the procurement in sourcing, purchasing, and managing office supply inventory.
  • Assist in collecting bills and managing expenses.
  • Provide essential support to the Executive Administrative Assistant across various areas.

Responsibilities:

  • Manage Office Operations.
  • Oversee day-to-day office functions.
  • Handle administrative tasks related to office operations like ordering supplies, maintaining office, maintaining equipment, and coordinating office maintenance.

Administrative Support:

  • Provide comprehensive assistance to executives and team members.
  • Manage incoming and outgoing correspondence, ensuring timely responses and appropriate.
  • Message routing. Act as a primary point of contact for internal and external inquiries.

Manage phone calls, emails, and welcome visitors to the office.

Document Preparation and File Management:

  • Assist in drafting, editing, and formatting various documents, reports, presentations, and other

materials as needed.

  • Maintain organized electronic and physical filing systems, ensuring easy access to documents

and records, update and manage databases to ensure accuracy and completeness of

Information.

Communication Liaison:

Serve as a liaison between departments, teams, and external stakeholders, facilitating

communication and information sharing.

Policy Compliance:

Ensure compliance with company policies, procedures, and regulations in all administrative

activities and interactions. Research to gather relevant information for HR tasks.

Qualifications:

  • Bachelor’s degree in Business Administration, Office Management, or a related field.
  • 3–5 years of experience in office administration or administrative support, preferably within a tech or SaaS company.
  • Strong command of both written and spoken English and Thai.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and cloud-based collaboration tools (e.g., Google Workspace, Slack).
  • Experience with basic document management and corporate filing systems, and maintaining office operations
  • Strong organizational and multitasking abilities with attention to detail.
  • Professionalism, discretion, and integrity in handling confidential information.
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.

  • Work Hours: Monday to Friday, 9:00 am to 6:00 pm (excluding public holidays in Thailand)
  • Annual Leave : Minimum of 8 days of vacation leave per year after completing 1 year of service.
  • Probation : 119 Days (After the probation period, employees are eligible to work from home.)
  • Remote Work: One day of remote work per week after successfully completing the probation period of 119 days.
  • Annual Health Check-up: A health check-up package valued up to 6,000.00 per employee per year, available after completing 1 year of service.
