Who We Are: 

Over 30 years ago, the GRPS Foundation was created to support the greatest needs of GRPS students. Today, as the primary fundraising partner for GRPS, our mission is more critical than ever. We raise essential funds to eliminate barriers to student success, ensuring that every student in the GRPS community has access to opportunities that enhance their education. 

While we work to support GRPS, we are a completely independent nonprofit organization. Our organization works with the help of 23 volunteer board of directors, three ex-officio board members, four staff members, and countless community impact partners. 

Our work focuses on raising direct, student-centered funds that address the current realities faced by GRPS students and families. For the 2024-25 school year, our priorities are clear: supporting essential programs like sports, fine arts, and experiential learning, while also addressing pressing issues such as teacher and principal support. Through initiatives like the Teacher Innovation mini-grant program, we provide hands-on, engaging learning projects that inspire both teachers and students.  

Who You Are: 

The Office & Donor Base Coordinator plays a vital role in supporting the entire organization by ensuring smooth office operations, maintaining accurate donor records, and fostering strong relationships with our supporters. This position is responsible for managing the donor database, ensuring the accuracy and security of donor information, and providing administrative support to staff and volunteers. The Office & Donor Base Coordinator works in close collaboration with the Foundation team and board of directors as well as acts as a liaison with other stakeholders.    

 

In this role, you will be able to jump in and make an immediate impact. Specifically, you will: 

  • First and foremost, resonate with our mission, vision, and values as an organization and foster a culture of accountability within our workforce that reflects these values. 
  • Utilize your 2+ years of database management experience within a fund development setting of a non-profit organization in addition to bachelor’s degree in nonprofit management, business administration, or a related field, strong understanding of donor relations and fundraising processes, strong technical skills and passion for education, youth, and Grand Rapids Public Schools to further the mission of the organization.  
  • Manages and maintains the organization’s donor database, ensuring accuracy, security, and confidentiality of donor information.  
  • Administers financial record-keeping related to donations, including processing gifts, preparing deposit slips, and collaborating with the Business & Grants Manager to reconcile accounts.  
  • Provides fundraising progress reports and supports the analysis related to strategic planning. 
  • Coordinates donor engagement and communication through the accurate and timely acknowledgement of donor pledges, letters, and receipts.  
  • Leads the annual campaign mailing list preparation and coordination of mailings internally and externally. 
  • Oversees daily office operations, including managing office supplies, equipment, and facilities. 
  • Provide administrative support to board and committees, including scheduling meetings and reminders, managing calendars, recording minutes, and coordinating events. 
  • Provides support for coordinating fundraising initiatives including mailings, reports, appeals, and special events.  
  • Assists in the coordination the organizations volunteer and committee opportunities 
  • Provides administrative and project management support to the CEO  
  • Helps with the planning of fundraising events; works closely with the team on processes, sponsorship tracking, guest registrations, logistics, event support and follow-up
