Infopro Digital group is recruiting a HR and Payroll Coordinator on a permanent basis to join its Nashville Offices.

The HR and Payroll Coordinator will be responsible for ensuring that USA employees are supported while focusing on HR Programs and ongoing projects as well as providing administrative support for the internal HR team. The HR and Payroll Coordinator will be assisting the HR and Recruiting Manager with running the US payroll, from time to time they will be the sole point of contact when the USA HR Director is on leave.

In addition to payroll duties the HR and Payroll Coordinator will provide reporting and generalist HR administrative support to the HR team. This role is mainly HR operations focused with a highlight of PEO relationship management, reporting, 401k management and HRIS System management and integration.

Key Tasks and Responsibilities

Payroll/Benefits

- Processing the semi-monthly payroll run.

- Ensure accurate processing of all payments, including commissions and back pay.

- Manage deductions for benefits and pensions during each payroll run.

- Liaise with relevant departments to gather information for payroll processing.

- Handle monthly commission submissions and seek necessary approvals.

- Manage 401k reporting and set up for new hires.

- Update and maintain company benefit documentation.

- Maintain efficient filing of payroll and benefits data.

 

HR

- Prepare contracts, offer letters, and starter packs for new employees.

- Conduct reference requests and monitor returns.

- Facilitate the onboarding process for new joiners.

- Conduct inductions for new starters as needed.

- Assist with HR projects to update/review company policies and procedures.

- Manage the HRIS system and become an expert in workflows.

- Provide support to the HR Manager on key HR processes, including the annual salary review.

 

Reporting

- Create and distribute HR reports.

- Produce quarterly turnover reports and exit interview analyses.

- Collate and provide data as requested for the France HQ.

- Provide reporting support to the Finance Department.

- Handle 401k, payroll, and PEO reporting.

 

Training

- Process and log invoices.

- Provide ad hoc training support, including arranging venues and organizing events.

- Manage the in-house training platform, 360Learning.

 

Recruitment:

- Assist with the recruitment process management via the applicant tracking system.

 

Candidate Specification

This role is ideal for someone looking to broaden their understanding of HR and payroll. In return, you will gain experience in how HR, payroll, training, and recruitment collaborate to provide employees with the best company experience throughout their working life cycle.

Essential Criteria

  - Bachelor's degree preferred.

  - 2-4 years in human resources in an administrative or analyst role with an emphasis on problem-solving and systems.

  - Proven knowledge of payroll processes, tax, USA salary, and tax requirements.

  - Experience in finance, medical billing, customer service, or leadership.

- Knowledge and understanding of payroll processes, tax, National Insurance, and benefit/pensions administration.

  - General understanding of current employment legislation and HR's role in supporting business objectives.

Skills & Abilities

  - Self-starter who is self-sufficient and can work quite independently

  -Exceptional accuracy and attention to detail.

  - Strong working knowledge of Excel and Microsoft Office packages.

  - Confidence in working with numbers and meeting strict deadlines.

  - Experience with confidential and sensitive data.

  - Well-organized and flexible in handling both payroll and HR responsibilities.

  - Excellent verbal and written communication skills.

  - Ability to build relationships at all levels.

  - Gritty, determined and motivated to support complex management teams and various personalities.

  - Clear and logical thinking processes.

  - Excellent time management and problem-solving skills.

  - Data management and HRIS experience highly desirable.
