(Senior) Event Executive

Company Description

Informa Markets, a division within Informa, creates global platforms for industries. We organise over 500 large-scale branded and transaction-oriented events in 14 specialist markets. These are typically not-to-be-missed annual events where buyers and sellers build relationships, see and show products and do business.

We also provide year-round online platforms where companies showcase their businesses and products and buyers conduct research, generating valuable leads, and we provide data and digital content that supports the flow of knowledge and transactions in markets.

Job Description

The role

We are looking for an event executive to join our dynamic and growing Vietnam office to drive our growth as a global leading event organizer. We are open to candidates from all the backgrounds as long as you have solid event organization experience. You'll help us launch world-class events and develop strategic relationships with global and regional industry leaders and innovators.

Responsibilities

Data Management and Analysis:

  • Collect and process data from various sources, working closely with the Data Management team to ensure data is clean and ready for analysis.
  • Use data analysis tools to identify patterns, trends, and key insights from the data.
  • Apply analysis results to develop strategies and business decisions to improve performance and productivity.

Supplier and Payment Coordination:

  • Work with the Manager to liaise with suppliers to ensure all tasks are completed.
  • Raise tickets for payment and follow up on payment schedules to suppliers.

Event Support and Coordination:

  • Support the sales team in carrying out exhibitor promotion activities and materials, including organizing side events and roadshows.
  • Work with internal stakeholders and customers to ensure event reports are generated in a timely manner.
  • Set up the site office at exhibitions and manage the front desk to assist exhibitors with any issues, provide a professional welcome, ensure housekeeping, manage petty cash, and assist the Operations Department with order verification and other on-site duties.
  • Handle post-show activities, including thank-you letters to exhibitors and associations.

Marketing and Promotion:

  • Translate promotion materials from English to Vietnamese and vice versa.
  • Support the line manager on event marketing activities and visitor promotion programs by working closely with the marketing team.

Administrative Support:

  • Maintain an effective and accurate filing system, including archive files.
  • Provide secretariat support to the Manager, including setting up meetings, conducting market research, and taking minutes of meetings.
  • Perform additional responsibilities as assigned by the Manager to ensure the successful delivery of the event.

Qualifications

Education: Bachelor’s degree in business administration, marketing, event management, or equivalent.

Experience: Minimum of 2 years of experience in overseeing and executing B2B event management; experience in data insights generation and data analytics is a plus.

Language Skills: Fluency in both written and spoken English and Vietnamese.

Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and PowerBI; Microsoft Office Suite certification is a plus. Experience with Canvas/Photoshop is an advantage.

Project Management: Strong project management skills, including time management and meeting deadlines.

Teamwork: Good team player with proactiveness and self-motivation.

Flexibility: Ability to work flexibly.
