Job Summary: This position is responsible for preparing and processing bi-weekly payrolls for multiple entities across various states. This role ensures compliance with applicable laws and Company policies, while maintaining accurate payroll records and addressing employee payroll-related inquiries.
Essential Duties and Responsibilities:
· Submit, review, and accept payrolls under the guidance of the Director of Payroll
· Establish and maintain accurate and up-to date employee payroll records
· Manage, review, and audit timekeeping records to ensure compliance with Company standards and applicable law
· Conduct and assist with routine payroll audits to ensure data accuracy and regulatory compliance
· Calculate and record payroll deductions, including voluntary and involuntary deductions
· Validate employee profile changes including pay increases, department transfers, and position changes
· Update HRIS records with employee changes
· Respond to employee inquiries using the Company’s help desk platform
· Research, analyze, and resolve payroll discrepancies by analyzing payroll reports, timesheets, and employee records
· Assist with calculating and processing discretionary and annual calculations of bonus or other forms of compensation
· Calculate and process final paychecks, quick calculations, and manual checks as required
· Generate and analyze reports using the HRIS system to support payroll processes
· Assist with payroll system maintenance and updates
· Other duties as assigned
Qualifications: To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or ability required.
Education: Bachelor’s degree in a relevant field from a four-year college or university
Experience:
· Minimum of two years of multi-state payroll processing experience
· Strong knowledge of payroll administration principles and practices
· Experience with payroll tax compliance at the federal, state, and local levels
· Proven experience processing California payroll and knowledge of state regulations (preferred)
· Notary public certification, or willingness to obtain certification within first six (6) months of employment (preferred)
Technical Skills:
· Computer and Microsoft Office proficiency
· Proficiency with and/or the ability to quickly learn the organization’s HRIS system
Soft Skills:
· Highly organized and detail orientated
· Ability to maintain confidentiality and handle sensitive information appropriately
· Ability to multi-task and work in a fast-paced, deadline driven environment
· Excellent interpersonal and customer service skills
· Superior time management skills
· Excellent judgement and problem-solving skills
· Ability to work with all levels of management and staff
Physical Requirements:
· Must be able to pass pre-employment screening that includes background and drug testing
· Must have a valid driver’s license and a driving record that meets Company requirements
· Sitting at a desk for 6-8 hours a day
· Working on a computer for 6-8 hours a day
· May be required to work long and unpredictable hours
