Job Description

Administrative Support / Recruiting

  • Provide support to the TA Team in various recruitment tasks, including:
    • Assisting with job postings and their maintenance.
    • Tracking sourced resumes.
    • Initiating background checks and drug screenings as needed.
    • Coordinating pre-hire assessments.
    • Scheduling candidate activities, such as interviews and communication with hiring managers.
  • Manage candidate communications, which may involve: Sending acknowledgment, decline, rescind, and offer letters as required.
  • Coordinate and administer new hire paperwork, ensuring a smooth onboarding process when applicable.
  • Prepare and send relocation packets when necessary.
  • Data Management: Maintain and update candidate and requisition data in the ATS, including manager feedback, contact log activity, Interview schedules and feedback, offer details, assessments, backgrounds, etc.
  • Oversee and coordinate the creation and maintenance of recruiting reporting metrics using existing tools.
  • Ensure a seamless onboarding experience for all candidates.
  • Post all job openings to external job boards and the ATS.
  • Super user for platform applications: HireRight, DocuSign, Smart Recruiter
  • Perform periodic QA/QA checks on files and database
  • Assisting in maintaining reports for management as needed

Perform other tasks as required to efficiently and effectively provide high-quality recruiting support.

Qualifications

Required Skills and Knowledge (Brief description of technical knowledge or skills needed to perform the job)

We are searching for a candidate with:

  • A minimum of 3-5 years of experience in a Talent Acquisition or HR Coordinator role with a focus on supporting Corporate Talent Acquisition or HR functions, including new hire and onboarding processes.
  • Experience MS Office Suite with emphasis on Outlook, Excel, and Teams applications.
  • Experience with pulling detailed reports in Excel and analyzing data for accuracy and next-step actions.
  • Experience reviewing background reports for compliance and performing onboarding and background duties.
  • Versed in managing the ATS program and updating application status reports.
  • Experience managing external vendor relationships.
  • Familiar with SAP SuccessFactors Recruiting and Onboarding Suite.

Pay range is based on several factors and may vary in addition to a full range of medical, financial, and/or other benefits. Final salary and offer will be determined by the applicant’s background, experience, skills, internal equity, and alignment with geographical market data.
