In this umbrella is the Administrative Team. This group plays a vital role in supporting our Senior Leadership teams across multiple divisions, ensuring seamless day-to-day operations. Acting as a central hub, this team manages key administrative functions and serves as a critical point of contact for a wide range of needs.

The role:

Reporting to the Manager, Leadership Support , we are looking for an Executive Assistant (EA) to support the needs of our senior leaders across Canada and the United States. The EA would support the following group:

Product Development: The EA in this area will support four leaders across Product Design, Engineering and Management—this team powers Jobber’s platform innovation ensuring the platform meets the evolving needs of its growing user base.

This EA would support the following group our Product Development group and will support four leaders across Product Design, Engineering and Management—this team powers Jobber’s platform innovation ensuring the platform meets the evolving needs of its growing user base.

This role is ideal for someone who wants to do more than fetch coffee - it’s strategic support that has a direct impact on leadership effectiveness. You’ll play a critical role in ensuring seamless coordination and operational efficiency for your group.  

The Executive Assistant will:

  • Manage complex calendars for senior leaders within your division, coordinating internal and external meetings.
  • Plan and coordinate travel for senior leaders, including department offsites, corporate events, and conferences.
  • Oversee expense reconciliation, ensuring reports are accurate and submitted within corporate deadlines.
  • Own department offsites by managing travel, venues, catering, social events, agendas, and post-event follow-ups.
  • Serve as the primary point of contact for senior leaders, ensuring seamless communication with Executive Assistants, internal stakeholders, and external partners.
  • Handle daily administrative operations, including ordering supplies, overseeing procedures, and improving division-wide efficiency.
  • Support new employees by guiding them through onboarding and ensuring access to tools, information, and resources.
  • Lead event coordination for division and department events, ensuring smooth execution and engagement.
  • Maintain and update documentation, including guides and program materials aligned with department priorities.
  • Enhance the executive experience by researching and implementing new tools, improving processes, and supporting company-wide events.

To be successful, you should have:

  • Demonstrated experience supporting senior leadership or C-suite executives, managing multiple leaders and priorities in a fast-paced environment.
  • A strong business background, ideally in business administration, operations, or a related field.
  • A proactive and adaptable mindset, always looking for ways to enhance efficiency and collaboration. You naturally ask, "How can I help?" or "Can I get support?" to drive solutions.
  • Excellent communication skills, with the ability to anticipate challenges, evaluate solutions, and adapt to different communication styles.
  • Strong organizational and multitasking abilities, thriving in a fast-moving environment where priorities shift quickly.
  • A balance of ambition and humility, always pushing for innovation while remaining open to feedback and learning.
  • Exceptional attention to detail and time management skills, ensuring seamless coordination of calendars, travel, and events.
  • The ability to work effectively in a remote-first, global company, collaborating across time zones with independence and initiative.
  • Proficiency with productivity tools, such as Google Suite, Slack, Zoom, and expense management software.
  • A problem-solving approach, anticipating needs and driving efficiencies to support senior leaders.
  • The ability to work from our Toronto office at least one day per week, with flexibility for in-office collaboration as needed.
