Position Overview
The Executive Assistant is a highly organized, proactive, and discreet Executive Assistant to support the CEO. This role is critical to ensure the CEO’s agenda is realized, time is optimized, communications are timely, strategic initiatives are executed and can manage confidential information with discretion.  The Executive Assistant will act as a trusted partner, gatekeeper, and liaison across internal and external stakeholders. 

Key Responsibilities 

Calendar, Meetings & Scheduling

  • Manage the CEO’s calendar, including scheduling, prioritizing meeting requests, and resolving conflicts.

  • Organize and support key meetings sponsored by the CEO (e.g., SLT meetings, executive offsites), including agenda development, attendee coordination, and follow-up execution.

  • Oversee recurring company-wide operating mechanisms (e.g., All Hands, executive cadences), ensuring proper planning, attendance, and success.

Travel & Logistics

  • Coordinate complex domestic and international travel, prepare detailed itineraries, and manage all related logistics.

Internal & External Communications

  • Serve as the primary liaison between the CEO and internal teams, board members, investors, and external stakeholders.

  • Draft, edit, and manage high-level communications, presentations, and reports, often of a confidential or time-sensitive nature.

Strategic Support & Project Management

  • Track and follow up on key action items to ensure timely execution and accountability.

  • Support the CEO in preparing for internal and external engagements by compiling briefing materials and agendas.

  • Lead or assist on special projects and strategic initiatives as directed by the CEO.

EA Community Leadership

  • Serve as the leader for Kaseya’s EA community, setting high standards for the craft, providing training, and fostering a strong internal network of support.

  • Drive innovation in EA tools and processes, with a focus on integrating AI and automation to enhance productivity and efficiency.

Collaboration & Discretion

  • Partner closely with the CEO’s Chief of Staff to ensure alignment and operational excellence.

  • Maintain absolute discretion and confidentiality in all matters.

Qualifications 

  • 10+ years of experience supporting C-level executives in a fast-paced, high-growth environment. 
  • Skilled with how to leverage data, insights and AI and other leading technologies.
  • Exceptional organizational and time-management skills with a proven ability to manage multiple priorities. 
  • Strong written and verbal communication skills. 
  • High emotional intelligence and professional demeanor. 
  • Proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, Outlook, PowerPoint, SharePoint).  

Preferred Attributes 

  • Experience in tech or SaaS companies. 
  • Familiarity with board governance and investor relations. 
  • Ability to anticipate needs and act with minimal direction.
