Essential Duties and Responsibilities

  • Add/update client information in CRM database
  • Support the financial advisor using the CRM RedTail with task setting and activities
  • Setting regular client interaction including appointment scheduling and correspondence; answer all incoming calls and direct/take messages appropriately and adding the tasks to RedTail according to firm guidelines.
  • Assist in client meeting and seminar preparation with folders and directions/phone numbers needed for the appointment or phone calls. And follow-up after the meeting to scan and assembling required paperwork, do a report generation, re-appointment scheduling and post-meeting documentation.
  • Setup WebEx using the firm guidelines between clients/prospects and firm.
  • Process, submit, and service all account paperwork/requests for clients; follow through to completion utilizing paperless procedures (including eSignature) where available.
  • Scanning the documents, forms and paperwork to OneDrive.
  • Manage and update mailing lists for birthdays, holidays, and firm marketing efforts.
  • Order supplies for office and act as point of contact for any infrastructure requests
  • Handle the daily incoming/outgoing mail, scan and keep record using USPS and UPS.
  • Other duties as assigned by Senior Client Service Associate

Knowledge, Skills, and/or Abilities

  • Basic computer skills (Outlook, Word, Excel and Power Point) are essential
  • Strong administrative and time management skills with superior attention to detail
  • Excellent communication skills, both verbally and in email writing
  • Be authorized to work in the United States with a satisfactory completion of background check, fingerprinting and required referral documentation

Requirements

Education and/or Experience

  • The ideal candidate will have 0-2 years of experience in administrative support in a professional environment
  • High School Diploma or Associate’s degree required
  • Previous experience in financial services a plus
