The Database Specialist is the backbone of data and gift management operations within the Development team at KIPP Texas Public Schools. This individual ensures the accuracy, integrity, and accessibility of fundraising data across the organization—supporting donor stewardship, gift processing, and campaign success. With deep expertise in Raiser’s Edge, the Database Specialist manages all aspects of gift entry and acknowledgement, coordinates donor communications lists, and produces reports that inform strategy and strengthen fundraising performance. This role requires a detail-oriented, tech-savvy professional who thrives in a mission-driven environment and brings a commitment to operational excellence and data-informed philanthropy.
Key Responsibilities and Duties
Data and Gift Management
● Process all donations and pledges in Raiser’s Edge, ensuring timely and accurate data entry.
● Generate and send acknowledgment letters and tax receipts in alignment with donor stewardship timelines.
● Maintain data integrity by conducting regular audits and following established data entry protocols.
● Manage monthly reconciliation of fundraising data with Finance to ensure
accurate reporting.
Reporting and Analytics
● Create and run queries, reports, and exports to support Development staff in tracking campaign performance, donor pipelines, and fundraising goals.
● Support the analysis and visualization of donor data to inform strategic decision-making.
● Maintain dashboards and donor lists for prospecting, stewardship, and engagement.
Communications and Mailing Support
● Serve as the point of contact for list management for mailings, newsletters, donor updates, and e-communications.
● Collaborate with the Events and Communications teams to support pre- and post-event communications and follow-ups.
Platform and System Coordination
● Manage third-party giving platforms to ensure that gifts are processed, coded, and acknowledged appropriately.
● Coordinate with IT and Raiser’s Edge support to resolve technical issues, implement upgrades, and optimize functionality.
Cross-Team Support and Special Projects
● Partner with development team members on donor engagement strategies and campaigns.
● Provide data support for fundraising events, including guest lists, nametags, and registration support.
● Execute additional database and operational tasks as assigned by the Director of Development Operations.
Education and Knowledge
● Associate’s degree required; Bachelor’s degree preferred.
● Minimum 2 years of experience in a nonprofit or fundraising environment.
● Proficiency in Raiser’s Edge is required.
● Familiarity with fundraising platforms, online giving tools, and donor management best practices.
Skills and Abilities
● Exceptional attention to detail and data accuracy.
● Strong organizational and time management skills.
● Ability to handle confidential donor information with integrity and discretion.
● Comfortable working independently and managing multiple tasks in a fast- paced environment.
● Proficiency in Microsoft Office (especially Excel, Outlook, and Word).
● Strong communication and collaboration skills.

Travel Requirements
● Ability to travel to various locations, travel time approximately 10%.
