Development Outreach Coordinator

Job Summary
The Development Outreach Coordinator plays a vital role in supporting KSPS PBS’s development efforts by managing and executing events, volunteer engagement, and donor stewardship activities. This position is responsible for coordinating logistics, planning, and execution of station events, managing volunteer recruitment and recognition programs, overseeing employee matching gift processes, and handling development-related merchandise sales and payments. The Development Outreach Coordinator will work closely with other departments to ensure successful cross-functional collaboration in support of KSPS PBS’s mission.

Job Duties/Responsibilities

1. Event Coordination:

  • Organize and oversee all aspects of KSPS PBS development-related events.
  • Conduct semiweekly event planning meetings to ensure seamless coordination.
  • Maintain and update the event calendar.
  • Coordinate event activities with other KSPS PBS departments.
  • Develop and manage event budgets to align with financial guidelines.
  • Recruit, coordinate, and oversee event volunteers.
  • Secure, manage, and ship costumes and other event-related materials.
  • Arrange venue setup, guest accommodations, and logistics.
  • Solicit and manage in-kind or trade donations for events.

2. Volunteer Management:

  • Recruit volunteers for development, corporate, education, and event initiatives.
  • Interview and assess potential volunteers for appropriate placements.
  • Organize and manage volunteer assignments for various projects.
  • Plan and execute an annual volunteer recognition event.
  • Conduct outreach and appreciation efforts, including thank-you calls, visits, and emails.
  • Maintain accurate logs of volunteer activities and hours.
  • Manage volunteer profiles, background checks, and related documentation.

3. Employee Matching Gift Program:

  • Complete and submit matching gift forms for companies.
  • Send matching gift letters and forms to members and maintain records.
  • Update member files to track matching gift status.
  • Process incoming matching gift payments from companies.
  • Send acknowledgment letters to members confirming the matching gift.
  • Send thank-you letters to participating companies.
  • Ensure all matching gifts are recorded and reconciled in donor records.

4. Merchandise and DVD/Swag Sales:

  • Process video requests and Shopify merchandise orders.
  • Generate invoices and process royalty payments.
  • Manage purchase orders and track accounts receivable.
  • Fulfill dub requests and coordinate shipping.
  • Maintain and update shopping cart inventory and product listings.

5. Development Administrative Support:

  • Maintain records of company matching sites and login credentials.
  • Process revenue received from Amazon, Fred Meyer, and other retail match programs.
  • Manage PayPal payouts, including processing US and Canadian transactions.
  • Authorize and reconcile PayPal transactions.
  • Send NETA and AP PayPal transmissions.
  • Balance Allegiance donor database with PAYA processing.
  • Coordinate ticket offers for pledge incentives and ensure accurate reporting to the box office.
  • Maintain and reconcile petty cash for development activities.
  • Organize and support miscellaneous station philanthropy initiatives such as holiday giving programs, community cleanups, and food drives.

To perform this job successfully, an individual must meet the minimum qualifications listed below. These qualifications are representative of the knowledge, skill and/or ability required to perform this job.

Education/Experience: to perform this job successfully, an individual must have:

  • Minimum of two years of experience in nonprofit event planning, volunteer management, fundraising, or related fields.
  • Bachelor's degree in nonprofit administration, communications, marketing, business, or a related field preferred.
  • Strong project management and organizational skills.
  • Ability to multitask and manage multiple priorities with attention to detail.
  • Experience in donor relations, corporate engagement, or volunteer recruitment is a plus.
  • Strong understanding of nonprofit development operations and best practices.
  • Passion for public media and community engagement.

Flexibility: Intermittent evening and weekend events.

Salary Range is $31.25 - $36.06/hr depending on experience

  • Full-time, non-exempt
  • Regular Schedule (M-F, 8 am - 5 pm) up to 2 days/week remote
  • Up to 11 paid holidays (holiday must fall on a normally scheduled workday) or time and a half when working on the actual holiday
  • Vacation: 96 hours annually
