We are seeking a highly skilled Executive Assistant with a Secret Security Clearance and extensive experience in the Defense Travel System (DTS) and the Correspondence and Task Management System (CATMS) to provide high-level administrative support to our executive team. The ideal candidate will have exceptional organizational, communication, and problem-solving skills, combined with the ability to handle sensitive information with discretion and professionalism.
Responsibilities- Manage and organize daily schedules, appointments, meetings, and travel arrangements for senior executives.
- Screen and prioritize incoming communications, including phone calls, emails, and correspondence.
- Prepare, edit, and proofread documents, reports, presentations, and meeting materials.
- Coordinate internal and external meetings, conferences, and events for executives.
- Handle sensitive and confidential information in compliance with security protocols.
- Coordinate domestic and international travel for executives through DTS (Defense Travel System).
- Create and process travel authorizations, vouchers, and reimbursements in accordance with DoD policies.
- Ensure compliance with travel regulations, budgets, and deadlines.
- Provide support for travel logistics, including flight, hotel, transportation, and other arrangements.
- Troubleshoot and resolve any travel-related issues efficiently.
- Utilize Correspondence and Task Management System (CATMS) to manage and track tasks, deadlines, and correspondence.
- Ensure that all incoming and outgoing correspondence is processed accurately and timely.
- Maintain accurate records of task assignments, progress, and completion within CATMS.
- Coordinate with relevant teams to ensure follow-up on tasks and projects as per executive requirements.
- Monitor the status of action items and escalate unresolved issues when necessary.
- Safeguard sensitive government documents and materials in accordance with Secret Clearance requirements.
- Ensure all administrative and travel activities adhere to appropriate security regulations, policies, and procedures.
- Assist with audits and compliance checks related to travel and administrative functions.
- Oversee the efficient operation of the executive office, including managing schedules, coordinating meetings, and organizing files.
- Serve as the main point of contact for internal and external stakeholders on behalf of executives.
- Prepare materials and briefings for meetings, including travel logistics and task status updates.
Requirements- High School Diploma or GED required. Associate's or Bachelor’s degree preferred.
- Secret Clearance or higher required.
- Minimum of 3-5 years of experience as an Executive Assistant or in a similar administrative role, ideally supporting senior leadership.
- Proficiency in DTS (Defense Travel System) and CTMS (Correspondence and Task Management System).
- Proven experience handling sensitive and confidential information, with an active Secret Security Clearance.
- In-depth knowledge of DTS and CTMS, with the ability to process travel requests and manage correspondence effectively.
- Exceptional organizational skills with the ability to multitask and prioritize in a fast-paced environment.
