The Fulfillment & Admin Coordinator supports the fulfillment process by managing invoices and orders, coordinating deliveries with the 3PL, optimizing logistics efficiencies, and handling key metrics while providing general administrative support across the business.
Order & Sales Fulfillment
• Fulfill sales orders for products and collateral, ensuring accuracy and timely processing.
• Process and send quarterly incentives to Area Managers and their designated stores.
• Onboard new stores by processing relevant forms, orders, and distributing necessary collateral.
Debtor Management & Accounts Support
• Oversee basic debtor management, including follow-ups on invoice payments.
• Manage the invoicing process through Cin7, ensuring accurate and timely payments.
• Process adjustments, credit notes, and refunds, while maintaining accurate financial tracking.
• Handle administrative tasks related to bookkeeping and accounts.
Order Creation & Processing
• Create manual orders for store collateral, incentives, and team requests.
• Process purchase orders through ERPLY, ensuring correct logging and tracking.
• Record adjustments to align stock with the fulfillment portal and track inventory movements.
• Manage new product uploads to retailer systems for seamless integration.
Delivery & Logistics Coordination
• Schedule and coordinate retailer delivery bookings, ensuring timely execution.
• Communicate with the fulfillment team to ensure on-time and accurate deliveries.
• Follow up on retailer/stockist orders to resolve delivery issues and discrepancies.
• Monitor and report on key logistics performance metrics to drive efficiency.
Administrative Support & Process Improvement
• Provide general administrative support across logistics and fulfillment operations.
• Investigate and resolve order discrepancies, including incorrect quantities or damages.
• Continuously identify process improvements to streamline fulfillment and logistics.
