HR & Talent Acquisition Coordinator

We are seeking a highly self-motivated, detail-oriented, and experienced Global HR & Talent Acquisition Coordinator to lead and own the recruiting function while providing essential support across HR operations. This is not an entry-level role, it is built for someone who thrives in fast-paced environments, takes full ownership of the hiring lifecycle, and is passionate about creating efficient, scalable people processes.

The Global HR & Talent Acquisition Coordinator will be the go-to partner for hiring managers and HR leadership, driving a consistent and high-quality candidate experience from job posting through offer acceptance. With a deep understanding of U.S. employment practices and the ability to operate seamlessly within a globally distributed team, they will ensure every hire reflects our pace, culture, and commitment to excellence.

This role calls for someone who is just as comfortable owning an ATS (preferably Workable) and managing high-volume pipelines as they are navigating compliance, onboarding logistics, and internal documentation support across teams in the U.S., Canada, South Africa, and the UKIA. They will be expected to bring structure to ambiguity, lead recruiting workflows with confidence, and reinforce HR best practices that support a growing global organization.

This position will report to the Director, People & Culture. This position follows an 8-hour workday with flexibility. Start time from 1:00 PM – 8:00PM SAST (4:00 AM - 11:00 AM PST), with the ability to adjust the remaining hours after as needed to complete the full workday. Occasional availability for early morning recruiting /interviews between 7:00AM 9:00AM SAST (10:00 PM – 12:00 AM PST) is required. This position can be remote within Cape Town, with the ability to work from our AWCape office as required. Alternatively, it can be based remotely in the Gauteng province, with the flexibility to travel to the Cape Town office as required.

Key Responsibilities

Global Support

  • Operate within a global framework, ensuring adaptability to support teams, meet deadlines and participate in virtual meetings across multiple time zones based in Canada, South Africa, U.K. or the U.S., as needed.
  • Collaborate with international stakeholders, adjusting to varying schedules and priorities as needed.
  • Facilitate seamless communication and coordination across global teams to support HR administrative operational efficiency.
  • Maintain flexibility in scheduling to accommodate time-sensitive tasks and cross-regional collaboration.

Recruiting and Onboarding Management

  • Manage end-to-end recruiting operations using Workable or similar ATS platforms, job creation, candidate screening coordination, interview scheduling, pipeline tracking, and hiring status updates.
  • Maintain recruiting dashboards, candidate pipelines, and active requisitions, ensuring structured workflows and consistent follow-through.
  • Collaborate with hiring managers across departments to draft job descriptions, align on sourcing strategies, and deliver an excellent candidate experience.
  • Coordinate pre-hire processes including background checks, document collection, and pre-boarding communication.
  • Schedule interviews across time zones, ensuring calendar alignment and timely feedback loops.
  • Own recruiting documentation, reporting, and analytics, identify time-to-hire, source effectiveness, and pass-through rates to help optimize hiring processes.
  • Support employer branding, job board optimization, and DEI-aligned sourcing strategies across functions and regions.

HR Operations Support

  • Support new hire onboarding, ensuring seamless onboarding experience for new hires, fostering their integration into the company culture and operational workflow. Completion of onboarding documents, system access, and orientation scheduling.
  • Support onboarding logistics, IT setup coordination, documentation review, orientation scheduling, and benefits eligibility workflows.
  • Assist in tracking and maintaining HR metrics related to recruitment.
  • Assist HR leadership in updating policies, maintaining HR SOPs, and managing the distribution of standard employee communications to support HR operations efficiency across platforms.

Compliance & Documentation Management Support

  • Support maintenance of HR records, personnel files, and compliance documentation in line with U.S. labor law within the respective jurisdictions of federal, state, and local employment laws and best practices.
  • Support audits by organizing and maintaining required employee documents.
  • Assist in training administration, payroll coordination, and leave tracking as needed.

Qualifications

  • 5+ years of experience in a Talent Acquisition or Human Resources coordinator role, ideally with exposure to global HR and talent acquisition operation.
  • Understanding of HR principles, with a particular emphasis on talent acquisition and compliance.
  • Proficiency in HR Information Systems (HRIS) preferably Sage HR and advanced Microsoft Office Suite skills.
  • Experience using ATS platforms (Workable strongly preferred), and comfort with remote interviewing tools and calendaring systems
  • Strong understanding of best hiring practices and compliance requirements (e.g., EEOC, I-9, background checks).
  • Excellent written and verbal communication skills with an eye for tone, professionalism, and candidate experience
  • Exceptional communication, interpersonal, and problem-solving skills, with the ability to navigate complex employee dynamics and maintain confidentiality.
  • Demonstrated ability to manage multiple deadlines and pivot priorities in a fast-paced, high-volume global environment

Work Environment

Work can take place either in an open office setting or remote setting with the expectation to travel onsite based on business and management needs. This is a full-time position that requires the ability to work a flexible and regular full-time schedule. It requires the ability to sit and work at a computer for extended periods of time and communicate effectively with a diverse audience in person, by phone and by computer.
