Position Overview:


We are seeking a detail-oriented and proactive RFP and Proposal Management Specialist to manage customer Request for Proposals (RFPs), Request for Information (RFIs), security questionnaires, and due diligence forms for our sales team. This role ensures accurate, timely, and well-structured responses to support high-value deals. The ideal candidate will be persistent in tracking down the right information, confident in liaising with internal teams, and able to own the process from request to submission.


This is a non-customer-facing role that requires strong writing, research, and project management skills. The specialist will work closely with sales account managers, customer experience teams, and technical subject matter experts (SMEs) to ensure all proposal responses meet company standards.


Key Responsibilities
  • Manage the full lifecycle of RFPs, RFIs, security questionnaires, and due diligence forms.
  • Search and retrieve relevant responses using Responsive (formerly RFPIO), a content management system with an answer bank of saved responses.
  • Customize and format responses to ensure clarity, consistency, and compliance with customer requirements.
  • Collaborate with internal teams (Security, Legal, Billing, and Sales) to obtain additional information when needed.
  • Proofread and edit responses to ensure accuracy, proper grammar, and professional formatting.
  • Track multiple requests, prioritize based on deal value and urgency, and escalate delays when necessary.


Stakeholder Coordination & Communication:
  • Act as a liaison between sales, legal, security, and other departments to gather necessary input.
  • Proactively follow up with internal teams to secure timely responses.
  • Identify and address bottlenecks in the process, ensuring all deadlines are met.


Qualifications & Skills
  • Excellent written communication skills - ability to articulate complex technical details clearly.
  • Strong research and problem-solving abilities - persistent in tracking down information.
  • Project management mindset - ability to juggle multiple requests, prioritize effectively, and track progress.
  • Confident and proactive - comfortable chasing up internal teams and owning the process.
  • Detail-oriented - ensures accuracy, compliance, and professionalism in every response.
  • Ability to work independently while collaborating with multiple stakeholders.
  • Experience with RFP software (e.g., Responsive/RFPIO) or similar tools is a plus.
  • Familiarity with SaaS, web hosting, or cybersecurity concepts is a bonus but not required.
