This is an excellent opportunity for a seasoned Administration Assistant to join a long-established business proud of their inclusive culture and working environment.

 

Company Profile:

For the past two decades, our client, a Law Office, has exclusively practiced bankruptcy, serving consumer and business debtors and meeting creditor needs.

 

The firm offers consultations on Chapter 7 and Chapter 13 bankruptcies.

 

Overall purpose and responsibilities of the role:

Administrative leader with strong communication skills and a passion to excel in their knowledge and career. You will work directly with managers who can teach you valuable skills or put your current skills to the test.

 

Duties and Responsibilities:

  • Work closely with the Director of Sales and Business Development to manage administrative and operational tasks.
  • Handle CRM tasks based on clear email triggers alerting clients on status.
  • Keep track of new leads and current clients and the status of their prospective statuses.
  • Organize documents and information according to the firm’s workflow and requirements.
  • Invoice work performed based on the forms and protocols required.
  • Manage and send out automated emails efficiently.
  • Utilize Filevine (legal CRM) for case management, document tracking, and process automation.
  • Organize and manage Gmail with color-coding and email triggers for better workflow.
  • 5+ years of experience in an administrative or office support position. 
  • Background in working with entrepreneurs, tech industries, or as a personal assistant is a plus.
  • Tech-savvy with experience in Excel, CRM systems, and document management tools.
  • Proven ability to use the Microsoft Office suite.
  • Knowledge Gmail filtering and tags is a plus.
  • Proven ability to problem-solve and have strong organizational skills.  
  • Confidence to work collaboratively and autonomously.
  • Ability to create and manage document templates and auto-email functions.
  • Self-sufficient and proactive—not afraid to ask questions and seek solutions. 
  • Ability to manage high email volumes and keep up with a fast-paced workflow.

 

Job type: Permanent

Emp type: Direct hire; Full-time

Schedule: Monday to Friday; The schedule is flexible but typically starts at 8 AM or 9 AM Manila Time; There will be one weekly meeting outside regular Manila working hours.
