The Project Manager (PM) is responsible for ensuring the successful and timely execution of client projects. PMs act as the primary liaison between clients and internal teams, ensuring clear communication, managing timelines, and delivering high-quality results. Each PM is fully accountable for their assigned clients, maintaining a comprehensive understanding of project deliverables and ensuring the team stays on track to meet deadlines. Responsibilities
Project Execution and Client Management
- Oversee client projects from initiation to completion, ensuring all deliverables meet quality standards, deadlines, and budget constraints.
- Maintain full ownership of assigned clients, understanding their goals, deliverables, and project requirements.
- Serve as the primary point of contact for clients, managing relationships and providing updates on project status.
- Guide clients through project processes, ensuring alignment with best practices and managing expectations.
- Take full responsibility for resolving client issues promptly and professionally, escalating concerns to the Portfolio Manager as needed.
- Document and follow up on client meetings, summarizing key points, action items, and next steps.
- Lead client training sessions to ensure familiarity with HubSpot tools, workflows, and custom configurations.
Team Coordination and Delivery Management
- Collaborate with internal teams to ensure tasks are completed efficiently and align with client expectations.
- Monitor project timelines, ensuring adherence to schedules and proactively addressing potential delays or bottlenecks.
- Create, assign, and manage tasks in the project management system to ensure clear communication and accountability.
- Provide team members with the information and resources needed to complete their tasks effectively.
- Participate in weekly team meetings to discuss project updates, address challenges, and share best practices.
- Ensure all team members understand project deadlines, deliverables, and responsibilities.
Reporting and Documentation
- Maintain detailed and accurate project records in the project management system.
- Prepare client reports, highlighting successes, challenges, and next steps.
- Contribute to internal reporting by providing project status updates and metrics to leadership.
- Strong HubSpot Experience
- Proven experience as a Project Manager or in a similar role, with responsibility for managing multiple projects simultaneously.
- Demonstrated ability to take full ownership of client projects and ensure successful outcomes.
- Exceptional organizational and time-management skills, with the ability to prioritize and manage competing deadlines.
- Proficiency in project management systems (e.g., Teamwork) and tools like HubSpot.
- Strong communication and interpersonal skills to build relationships with clients and collaborate with internal teams.
- Proactive problem-solving abilities, with a commitment to maintaining project timelines and quality standards.
- Maintain HubSpot certifications and pursue additional certifications as required.
- A self-motivated and detail-oriented approach to work, with a focus on client satisfaction.
