YOUR TEAM
You will join the large team at the Center of Expertise (CoE), which brings together over 200 multidisciplinary experts across creative, technological, and technical fields, contributing to the creation of immersive and innovative experiences. The CoE’s main mission is not only recruitment, talent development, and well-being, but also to ensure top-tier talent casting and expert contributions to projects, in close collaboration with the Business Units and international offices. More specifically, you will be part of the department’s management team, which includes a Senior Director, 3 Operations Managers, and 3 Coordinators.
YOUR MISSION
As a Team Coordinator, you will oversee the department’s activities, providing administrative and logistical support to managers and teams, while ensuring the development and maintenance of internal tools and processes. You will also support initiatives focused on team engagement, well-being, and excellence. You will be expected to collaborate closely with specific teams, while also contributing to the department’s cross-functional projects.
ROLES AND RESPONSIBILITIES- Reporting to an Operations Manager and working closely with other members of the management team, your main responsibilities will include:
- Time Management: reviewing timesheets, tracking hours, and handling leave requests;
- Organization of activities, outings, and events, from small to large-scale;
- Assist in drafting and distributing various internal communications;
- Provide coordination support to team managers and/or professional community leads;
- Plan and schedule meetings and work sessions, including note-taking and follow-up;
- Manage requests related to office spaces, desks, equipment, and software with the IT and Facilities departments;
- Keep team coordination tools (team lists, calendars, timesheets, etc.) up to date;
- Contribute to the development and continuous improvement of internal tools and processes;
- Welcome and onboard new team members, and assist in the creation and implementation of their training plans;
- Ensure adherence to internal policies and support the well-being of the teams;
- Track the department's budget: update tracking tools, process invoices, prepare purchase orders or contracts as needed, and follow up on necessary approvals;
- Research, monitor, and follow up on opportunities for participation in industry conferences/events and partnerships with educational institutions;
- Collaborate with the MF School to organize and implement various training, development, and learning initiatives;
- Handle administrative follow-ups with certain freelancers;
- Contribute to promoting the team within the company, acting as a positive ambassador for its values, goals, and priorities;
- Perform any other responsibilities and/or tasks related to this role.
YOUR JOURNEY INCLUDES- College diploma in management, event planning, multimedia, media, or a related field;
- 2 to 3 years of experience in team or project coordination, within the multimedia, event planning, entertainment industry, or other equivalent experience;
- Professional proficiency in both French and English, spoken and written (you will be required to communicate in English as part of your role);
- Proficient in Google Suite (Sheets, Slides, Gmail, etc.).

- Knowledge of Wrike software is a plus;
- Familiarity with the multimedia industry is an asset.
SPECIFIC WORK CONDITIONS- Hybrid work possible, but requires regular in-office presence;
- Occasional work outside of regular office hours.
