Job Description:
We are seeking a highly organized and detail-oriented License Assistant to join our team. This is a newly created role within our company, but we have prior experience with related positions in administration and operations. As a License Assistant, you will primarily assist in managing licensing processes, ensuring timely renewals, and supporting the team with administrative tasks. While this position is not technical, it requires someone with exceptional organizational skills and a strong ability to prioritize tasks based on the renewal dates of licenses.
Key Responsibilities:
- Oversee and maintain accurate records of all licenses, ensuring compliance with industry regulations and proper documentation.
- Track and monitor license renewal deadlines, ensuring timely and accurate submission of renewal documentation to avoid disruptions.
- Provide administrative support in managing licensing data, organizing schedules, and maintaining accurate records for audits and reviews.
- Assist with the headhunting process, identifying potential candidates for administrative roles, with an emphasis on corporate experience.
- Prioritize tasks effectively, ensuring that all renewal deadlines are met without delay.
- Maintain detailed records and assist in preparing reports related to license renewals and compliance.
- Support team members with client account management tasks, ensuring that all licensing needs are met to maintain client satisfaction.
- Maintain effective communication with internal teams, external partners, and regulatory authorities regarding licensing requirements.

- At least 2 years of experience in a corporate administrative or operations role, preferably with exposure to licensing, account management, or client success.
- Excellent written and spoken communication skills in English, with the ability to draft clear, concise emails and documents.
- Exceptional attention to detail, particularly when managing license records, renewal dates, and other critical information.
- Strong time management skills, with a proven ability to prioritize tasks effectively and meet deadlines in a fast-paced environment.
- Experience or familiarity with client success or account management practices, ensuring customer satisfaction and proactive issue resolution.
- Ability to maintain a high level of organization and keep track of multiple tasks, especially with regard to licensing renewals.
- A college degree or equivalent experience is required.
