Executive Assistant in Novo Holdings' Principal Investments department

We are looking for an Executive Assistant to join our Principal Investments team. Principal Investments is the largest investment team in Novo Holdings, investing in leading, growth-oriented healthcare and life science companies across Europe and North America. 

In this role, you will support three Partners and play a pivotal role in coordinating across the team, supporting, and planning complex calendars, and client activities.

Support our team while proactively contributing to the culture 

Your key task will be to proactively handle the Partners’ complex calendars of appointments. Further, you will contribute to upholding a well-functioning department and good team spirit. 

In this role, your responsibilities will include: 

  • Proactively handling the Partners’ complex calendars of appointments, including reviewing and preparing short-term and long-term schedules. Ensuring that the Partners are well-prepared with all materials and pre-reads ahead of meetings. Analytically and proactively managing time and handling changes and avoiding conflicts. 
  • Coordinating travel and conference attendance from A to Z. Ensuring that the Partners are well-prepared with all materials ahead of travel, meetings, and events. Being available as an emergency lifeline to support and handle travel changes. 
  • Provide support to deal teams helping with travel, facility service and ad hoc requests.  
  • Running ad hoc tasks and projects, ensuring consistently high-quality work in all deliverables and work products. 
  • Handling ad hoc administrative tasks, including expense management. 
  • Participating in the internal cross-departmental EA network in Novo Holdings and contributing to knowledge sharing and smooth collaboration. 
  • Supporting organizational annual cycle processes (Novo Insights process). 

Additionally, you will contribute to team development and team spirit by being the special “cultural and social glue” that helps hold a team together. 

As an Executive Assistant, you will be part of our cross-departmental EA network, where we share knowledge and experiences from diverse backgrounds, providing a great platform for knowledge sharing and development, supporting each other, and optimizing ways of working across Novo Holdings. 

About you 

We are looking for a person with strong motivation for the Executive Assistant tasks. You have a minimum of five years of relevant experience as an EA/PA or Team Coordinator, preferably from professional services, financial institutions, or the investment environment. 

We imagine that you have: 

  • Minimum five years of proven experience as an EA/PA/supporting executive-level individuals in large professional and global organizations. 
  • Ideally, experience from a professional services company (consulting, banking, law firm) or from financial institutions or the investment environment.
  • Stellar references and a proven track record of high performance and being proactive. 
  • Strong presence and a confident and accommodating personality. 
  • Fluency in English, both verbal and written. 
  • High proficiency in applying digital tools in daily tasks and operations. 
  • A recent track record of effectively using Microsoft Office 365. 

Further, we expect your personal qualifications to be: 

  • Proactively understanding the Partners’ objectives, goals, deadlines, and deliverables daily, weekly, monthly, and quarterly. Ensuring follow-through behind the scenes in furtherance of these and in close collaboration with deal teams and other stakeholders. 
  • Able to grasp the big picture while tracking operational details and maintaining an overview. Proactively communicating and asking questions to resolve open issues. Filling the gaps and quickly reprioritizing tasks when needed. 
  • A positive team player, flexible, resourceful, and efficient, with a high level of integrity. Seeking opportunities to help others and committed to making colleagues successful - actively contributing to a positive workplace culture and building strong networks. 
  • Demonstrating a sense of urgency and attention to detail while handling highly sensitive and confidential information with discretion. 
  • Possessing intellectual curiosity and an interest in learning about the work of the organization. 
  • Reflecting the values, culture, and brand—making a strong positive impression on key contacts and ensuring everything gets done on time.
