SCOPE OF POSITION:

The Office Coordinator is responsible for ensuring smooth daily operations at our Oklahoma City office by managing dispatching, purchasing, and administrative tasks. This role requires a detail-oriented, self-motivated professional who thrives in a fast-paced environment, has strong follow-through on multiple tasks, and demonstrates a commitment to outstanding customer service. You will serve as a key point of contact for both internal teams and customers, ensuring efficient coordination and communication across departments.

RESPONSIBILITIES:

Dispatching & Customer Service:

  • Receive and document customer calls and interactions, passing along relevant information to the appropriate departments.
  • Prioritize calls based on urgency and importance, ensuring timely response and resolution.
  • Follow up with customers to gather feedback on their service experience.
  • Collaborate with the customer service team to develop and implement initiatives that enhance customer satisfaction.
  • Manage daily office operations, ensuring efficiency and organization.

Purchasing & Vendor Coordination:

  • Create and process purchase orders for vendors and employees as needed.
  • Order parts for quoted jobs, ensuring alignment with pricing and project timelines.
  • Maintain and strengthen vendor relationships, resolving purchase order discrepancies as necessary.
  • Work with the accounting department to ensure accurate billing and expense tracking.
  • Reconcile invoice-to-purchase order price variances and monitor material backorders from vendors.
  • Oversee the receipt and organization of incoming and outgoing shipments and returns, communicating part availability to the service team.

Administrative & Onboarding Support:

  • Coordinate onboarding for new hires, ensuring they receive necessary materials and training.
  • Manage expense reports and other clerical tasks to support office efficiency.
  • Maintain organization of office records, supplies, and workflow processes.

WHAT WILL PUT YOU AHEAD:

  • Bachelor’s degree in Communication, Business, or a related field preferred.
  • Proven experience as an Office Coordinator, Dispatcher, or Administrative Assistant.
  • Strong communication, organization, professionalism, and work ethic.
  • Ability to multi-task and follow through in a fast-paced environment.
  • Understanding of office operations, customer service, and purchasing processes.
