Job Description

As the Office Operations Lead in Order.co’s NYC headquarters, you’ll take ownership of all things related to our physical space, as well as some HR administrative support, to ensure the employee experience reflects our company values and culture. This role will report to our Senior Manager of People Operations, and is ideal for someone who is passionate about serving others, thrives on variety, and isn’t afraid to roll up their sleeves to get the job done - whether that means calling a plumber to fix a sink, shipping branded assets to new hires, or planning our annual holiday party.

Key Responsibilities

  • Being in the Office! Due to the nature of the role, this person will be stationed in our NYC headquarters in Flatiron 5 days/week.

  • Office Operations: Oversee the daily operations of our office space, ensuring it’s clean, organized, stocked with supplies and snacks, and fully functional. Other tasks include  managing incoming mail and packages, visitor management and assistance, office calendar support, fielding in-office questions and requests, etc.

  • Facilities Coordination: Address and resolve maintenance issues, coordinate with external vendors including annual inspections, and partner with IT to ensure the office remains safe and secure.

  • Event Planning: Organize and execute in-person events such as team-building activities, company celebrations, and meetings to foster connection and collaboration.

  • Branded Asset Management: Manage inventory, distribution, and upkeep of branded materials, including swag for new hires and employees.

  • HR Administration: Assist with personnel file management, interview scheduling, job posting, reimbursements / stipend tracking, mailed compliance notices, etc.

  • General Problem-Solving: Tackle miscellaneous tasks and challenges as they arise with a can-do attitude and attention to detail.

Qualifications

  • 3+ years of experience managing an office space, facilities, or similar roles

  • Organized and detail-oriented, with strong project management skills.

  • Passionate about employee experience and creating a welcoming, inclusive, and efficient workspace

  • Gritty, hands-on, resilient, and unafraid to take on tasks big or small - from emptying the trash to organizing a company-wide event.

  • Exceptional at context switching and managing multiple priorities in a fast-paced environment.

  • A creative problem-solver who stays calm under pressure and finds innovative, cost-saving solutions.

  • Comfortable working with vendors and building management, as well as overseeing our office budget.

Physical Requirements

  • Ability to lift and carry objects up to 40 lbs (e.g., office supplies, equipment, event materials).

  • Ability to stand, walk, and move around the office for extended periods.

  • Capability to perform basic manual tasks such as assembling furniture, fixing minor issues, and organizing spaces.

  • Comfortable climbing stairs or ladders as needed.

  • Ability to operate standard office equipment and tools.

  • The anticipated annual base salary range for this role is $80,000-$90,000. Actual compensation and title will be commensurate with experience, qualifications, knowledge, and skills.
