About the Job

We are hiring a Medical Document Coordinator to join our Donor Quality Assurance Team to better streamline the chart review process. In this role, you will be the front line, detail-oriented document expert who meticulously checks to ensure we have every necessary document and pieces of information before handing off the complete chart to the review team. 

Your job will involve multitasking as you carefully track incoming documents and communicate with our recovery partners to request missing documents. You’ll get to interact with a variety of people inside Ossium as well as outside partners on a daily basis, using a combination of organizational and people skills to track what we have and get what we need. Accurate chart review facilitates the timely release of donors for transplant, so this role will be a critical link in the chain that allows patients to be treated with Ossium’s therapies. You will report directly to the Quality Assurance Associate Supervisor, Donor Quality and work out of Ossium’s Indianapolis office.

Required Qualifications

  • High school diploma or equivalent 
  • 1+ year(s) of experience in a Quality Assurance function at an organ procurement organization (OPO), tissue recovery agency, or tissue processor, or equivalent experience working with hospital charts or medical records
  • Ability to quickly and accurately organize and review large amounts of documentation
  • Extremely detail-oriented
  • Comfort with medical terminology and/or medical records
  • Knowledge of FDA regulations
  • Proficient in Microsoft Office Suite, Adobe Acrobat, Google Drive
  • Excellent written and oral communication skills; ability to interact professionally with external partners
  • This position is based in our Indianapolis office; you’ll be in the office Monday - Thursday with the option to work remotely on Friday

Preferred Qualifications

  • 2+ years of experience in a Quality Assurance function at an organ procurement organization, tissue recovery agency, or tissue processor, or equivalent experience working with hospital charts and medical records
  • Experience reviewing donor charts
  • Experience with MasterControl system
  • AATB CTBS certification

Key Responsibilities

  • Process incoming emails from recovery partners until a complete chart is obtained
  • Ensure the speedy delivery of completed charts for all clinical donors to the review team
  • Confirm basic donor information matches (Names, IDs, DOB, etc.) on all documentation received
  • Check documentation received against a list and identify any missing or incomplete documents
  • Enter missing documentation on pending list and maintain document statuses in electronic information system
  • Communicate in a timely manner to the review team when new information is received 
  • Manage donor status and associated notifications within the exchange system

In your first six months some projects you’ll work on include:

  • Creating and organizing a dedicated electronic workspace for recovery partner files and associated information
  • Collaborating on processes to streamline communication with partners utilizing our exchange system
