Work Arrangement: Fully remote, overlapping EST working hours

Job Type: Full-time

Work Schedule: 40 hours per week, Monday to Friday, 9:00AM - 5:00PM/ 10:00AM - 6:00PM EST

Role Overview:

The Executive Assistant/Billing Specialist serves a dual purpose, providing administrative support to the leadership team while managing billing and financial processes efficiently. This role calls for a detail-oriented and highly organized professional who can handle sensitive information with discretion and deliver smooth, reliable operational support.

Key Responsibilities:

1. Executive Support

  • Manage executive calendars, schedule appointments, and coordinate meetings for leadership.
  • Prepare agendas, take detailed minutes, and ensure follow-ups on action items from meetings.
  • Monitor executive email inboxes, prioritize communications, and respond when necessary.

2. Billing and Financial Management

  • Handle health insurance billing, including claims management and resolving denied claims.
  • Oversee client billing processes, ensure timely invoicing, and follow up on outstanding payments.
  • Reconcile accounts and prepare financial reports, including monthly and quarterly summaries.

3. Operational and Client Coordination

  • Serve as the main administrative contact, streamlining workflows and improving efficiency.
  • Maintain client records while ensuring HIPAA compliance and confidentiality.
  • Respond to client inquiries, mediate with therapists and insurance providers, and translate documents into Spanish when needed.
  • Experience in mental health care or related fields.
  • Bilingual in Spanish and English (written and verbal).
  • Excellent verbal and written communication with a professional demeanor.
  • 3-5 years in administrative or billing roles, ideally in healthcare or therapy settings.
  • Strong organizational, multitasking, and attention-to-detail skills.
  • Proficient in billing tools like QuickBooks or Microsoft Excel.
  • Knowledge of insurance billing and HIPAA compliance preferred.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Proactive, problem-solving mindset, able to work independently and in a team.
