Role Overview
The Executive Assistant will provide high-level administrative support to the leadership team, ensuring operational efficiency and seamless execution of daily tasks. Acting as a trusted partner to executives, the Executive Assistant will manage schedules, communication, travel, and special projects while maintaining discretion and professionalism. This role requires exceptional organizational skills, a proactive mindset, and the ability to thrive in a fast-paced environment.
Key Responsibilities
- Calendar and Schedule Management: Manage complex calendars across time zones and coordinate internal and external meetings.
- Communication and Correspondence: Draft, review, and oversee executive emails, reports, and presentations.
- Project Management: Track progress on initiatives using tools like Trello and Notion to ensure deadlines are met.
- Travel and Logistics: Coordinate comprehensive travel arrangements and manage itinerary updates.
- Administrative Support: Process expense reports, organize document systems, and order office supplies.
- Social Media Management: Post organic content across social media platforms and support branding efforts.
- Stakeholder Engagement: Act as a liaison between executives and stakeholders, fostering professional relationships.
Must-Have:
- Proven experience as an Executive Assistant or similar role, preferably supporting C-suite executives.
- Proficiency with productivity and collaboration tools like Google Workspace, Trello, Slack, and Microsoft Office Suite.
- Exceptional organizational and multitasking skills, with attention to detail.
- Excellent written and verbal communication abilities.
- Ability to handle confidential information with discretion.
- Proactive, self-starter attitude with strong problem-solving skills.
Nice-to-Have:
- Familiarity with project management tools such as Notion or Trello.
- Experience with financial tools like QuickBooks or Rippling.
- Exposure to social media management and content creation.
- Prior experience working in fast-paced tech, startup, or innovation-driven environments.
- Familiarity with secure communication tools and VPNs.
