Operations Specialist (US Radiology Network)

Work Arrangement: Fully remote, Monday to Friday, with flexibility

Job Type: Full-time, Independent Contractor.

Work Schedule: 40 hours per week, 8:00 AM- 5:00 PM EST

Locations: Remote, open to candidates worldwide with availability during Eastern Time hours.

Role Overview:

The Operations Specialist plays a vital role in ensuring smooth administrative operations while upholding Company's core values of efficiency, precision, integrity, innovation, and customer-centricity. This position requires a highly organized, proactive professional who can anticipate challenges, maintain discretion, and support leadership in driving business success.

Key Responsibilities:

  • Calendar & Scheduling Management: Handle complex scheduling for executives, optimizing time and prioritizing critical meetings.
  • Email & Communication Management: Draft, filter, and respond to emails on behalf of executives, ensuring clear and effective communication.
  • Meeting Coordination & Documentation: Organize meetings, prepare agendas, take minutes, and follow up on action items.
  • Project & Task Management: Assist in tracking key initiatives, ensuring deadlines are met, and escalating urgent matters.
  • Travel Planning: Coordinate domestic and international travel, including flights, accommodations, and itineraries.
  • Administrative Support: Manage documentation, prepare reports, and assist in operational efficiencies.
  • Confidentiality & Discretion: Handle sensitive information with the highest level of professionalism and security.
  • Vendor & Client Coordination: Liaise with external partners and stakeholders to ensure smooth business operations.

Immediate Tasks to Fully Own on Week 1:

  • Gain full access to and familiarize themselves with the executive’s calendar and inbox.
  • Review ongoing projects and key deliverables, understanding priorities.
  • Meet with key team members to align on workflows and communication styles.
  • Organize and optimize existing administrative processes.
  • Begin drafting and filtering emails to reduce executive workload.
  • Assist with travel planning and schedule coordination for upcoming engagements.

Must-Haves:

  • Proven experience as an Executive Assistant, preferably supporting senior leadership.
  • Strong problem-solving skills and ability to anticipate needs proactively.
  • Exceptional organizational and time management abilities.
  • Ability to work independently with minimal supervision in a fast-paced environment.
  • High level of discretion and professionalism when handling confidential information.

Nice-to-Haves:

  • Experience as an Executive Assistant to C-level executives.
  • Background in healthcare, radiology, or a tech-driven industry.
  • Familiarity with medical imaging or healthcare operations.
  • Comfort with collaborative tools, CRMs, or project management software.
