Finance Coordinator for Asia

Contract Length: 1 year with the possibility of an extension

Base: HQ, Prague; with occasional field trips abroad to our country programmes

Starting date: ASAP

Line Manager: Regional Head of Systems and Operations Asia

People in Need (PIN) is a Czech-based international non-governmental organization (NGO) that has provided humanitarian and development assistance across more than 20 countries since 1992. Today, PIN stands as one of the largest organizations of its kind in Central and Eastern Europe, supporting vulnerable communities in Asia, Africa, the Middle East, and Eastern Europe. PIN empowers civil society, advocates for human rights, and promotes social inclusion both in the Czech Republic and abroad.

About the role:

Finance Coordinator (FC) provides guidance and financial management support to PIN country programmes. Based at the headquarter, FC is a focal point for finance and economy agenda in assigned country programmes. FC supervises the country programme financial health including cash flow, coverage of operational costs, identification of financial and procedural risks, and implementation of relevant solutions. FC supports the designated Finance Managers at the country programmes and other senior staff in clear understanding and compliance with finance and administrative standards and procedures, controls country programmes’ compliance with PIN policies and procedures, donors’ rules and legislation. He/she takes part in preparation of budgets and financial reports and provides support during external audits. FC keeps the HQ management informed on all important issues on a timely basis.

Main Duties & Responsibilities:

• FC coordinates financial project closing and is responsible for statutory audit;

• Supervises the process of posting of partner reports, provides guidance to the

 country programmes;

• Prepares documents for projects accounting closing;

• Has a sound knowledge of administrative standards and procedures, provides

 methodological guidance to HQ and country programme staff in the field of

 internal procedures;

• Is familiar with donors´ financial and administrative rules;

• Provides training and methodological guidance regarding existing financial

 systems (Navision, ELO, budget monitoring tools, etc.);

• Participates in country programme financial health checks;

• Participates in whole process of operational (shared) costs management and

 provides methodological guidance; consults the allocation keys used in the

 shared costs management;

• Monitors the country programme outlays and incomes planning process;

• Monitors the overall country programme cash flow management;

• Approves monthly money requests, travel request orders, invoices and

 contracts processed at HQ related to the country programme, approves

 contracts and financial documents;

• Reviews proposal budgets for appropriateness, relevance and coverage of

 indirect costs and raise queries, and approves final budget version before

 submission to a donor;

• Acts as an advisor in the field of team management.

Main requirements:

• Experience in a finance position needed;

• Communicative level of English (minimum of active B2);

• Experience with project management is very welcome;

• Keen eye on details and passion for working with numbers;

• Advanced Excel skills as you will handle Pivot Tables and other complex

 formulas;

• Strong training/coaching skills;

• Ability to communicate clearly with different groups of people and to respect

the different cultural background;

• Ability to work independently and effectively;

• Ability to deal with complex compliance agenda;

• Speaking Czech language is an advantage;

• Knowledge of SAP, MS Dynamics Nav or other ERP is an advantage;

For expatriate staff: Having a valid work permit for the Czech Republic.

Starting Salary and benefits based on PIN’s salary scale and HR policies;

 expected salary range between 39 400 – 44 000 CZK gross for full time (based

 on experience); equivalent for part-time (minimum 0,8 FTE).

− 3 sick days and 3 study leave days;
