Athletic Academic Advisor

Job Description

SUMMARY: The Athletic Academic Advisor provides supplemental advising for new, continuing and transfer student-athletes participating in the university’s Division I athletics programs. This is a full-time benefits eligible position within the Center for Student Success reporting to the Director of Athletic Academic Success and will support and monitor the academic progress of student-athletes.

This position is exempt from the provisions of the Fair Labor Standards Act (FLSA) and is not eligible to earn overtime pay or compensatory time off for additional hours worked. This position is not eligible for visa sponsorship.

Essential Duties and Responsibilities include:

  • Monitors the academic progress of all student-athletes and communicates with the student’s primary academic advisor to ensure progression in the student-athletes’ respective majors.
  • Assumes supplemental academic advising responsibility for all student-athletes on topics such as major exploration, academic requirements, campus resources, and institutional policies.
  • Provide academic guidance to student-athletes, assisting them with course selection and eligibility requirements for NCAA, Conference, and institutional regulations.
  • Offer supplemental academic advising on topics such as major exploration, academic requirements, campus resources, and institutional policies.
  • Provide outreach to academically at-risk student-athletes, including those with early academic warnings, midterm warnings, or on academic probation.
  • Monitor degree progress and academic performance for both individual student-athletes and teams.
  • Arrange meetings with at-risk student athletes, providing additional support services to help them succeed.
  • Works closely with the other members of the Center for Student Success, particularly academic advising in support of student success initiatives.
  • Complete final semester grade report for all athletic administration and coaches

Collaboration & Communication:

  • Communicates weekly with coaches regarding academic performance and other relevant updates.
  • Provide weekly and/or bi-weekly grade reports to coaching staff of assigned teams.
  • Serve as a liaison between academic and non-academic departments to support student-athlete success.
  • Works closely with faculty to address student-athlete concerns and coordinate resources to support academic goals.

Programming & Development:

  • Assist in the creation of programs for new student-athletes, ensuring a smooth transition into academic life.
  • Develop advising materials and presentations to support both individual and group advising sessions for student-athletes.
  • Provide mentoring to student-athletes on academic, athletics, career, and personal issues.

Compliance & Institutional Policy:

  • Stays knowledgeable of and ensures compliance with NCAA regulations, institutional policies, and deadlines related to student-athlete eligibility and admissions.
  • Stays apprised of changing institutional policies and procedures, admissions requirements, new programs, course changes, deadlines, updates in college-wide initiatives and transfer requirements.
  • Monitor and track athletic eligibility in collaboration with the registrar’s office and professional advisors.
  • Handle, track, and store sensitive and confidential materials in compliance with FERPA guidelines.
  • Assist with the use of the University Absence Policy for student-athletes traveling for competition.

Recruiting & Development:

  • Provide academic presentations to prospective student athletes and their families during the recruitment process.
  • Assist with student-athlete development programming, including career, personal, and academic planning.

Non-Essential Duties

  • Other duties and special projects may be assigned to meet department and university needs.

Qualifications

Experience, Knowledge & Skills Preferred

  • Experience working with student-athletes and diverse undergraduate student populations.
  • Proficiency with web-based applications; Microsoft Office (particularly spreadsheet, database, and word processing); and student information systems with a strong orientation to detail.
  • Strong interpersonal skills, including the ability to establish rapport with a wide range of students, faculty, and staff.
  • Demonstrated organizational and planning skills, including proven expertise in follow-up and follow-through to completion within established time frames.
  • A high level of personal integrity and professionalism.
  • Demonstrated commitment to inclusive and equitable organizational environments. 
  • Strong work ethic and initiative.
  • Ability to problem solve and research solutions, as needed.
  • Ability to quickly learn and assimilate into new systems and cultures.
  • Must be able to work in a fast-paced environment with demonstrated ability to effectively prioritize multiple competing tasks and demands.
  • Strong collaboration skills across the department and campus to promote a positive work environment.
  • Minimum 1-2 years of experience advising NCAA Division I athletes or equivalent experience.
  • Bachelor’s degree required, master’s preferred in higher education administration or a related field preferred or equivalent combination of education and experience.
