Logistics and Accounting Coordinator

RahrBSG is looking for a Logistics and Accounting Coordinator to join our team in Hillsboro, North Dakota. This role is responsible for the data entry and administrative support for rail cars that transport in and out of the Taft location.  Key responsibilities include tracking and entering railcar shipments, managing freight and carriers within the ERP system, handling freight billing and coding, and supporting the accounts payable process. The Logistics and Accounting Coordinator ensures the smooth and accurate flow of rail logistics and supports the operational needs for a site.

You will be responsible for:
  • Enter railcars into ERP system that are shipping from vendors to Shakopee sites, ensuring data is entered accurately and on time.
  • Enter railcars into ERP system that are transferring between grain storage sites, ensuring data is entered accurately and on time.
  • Add freight charges to transfers and coordinate with carriers during loading operations.
  • Manage rail cars in a joint Dropbox file, partner with logistics team on all rail decisions.
  • Tear apart Bill of Lading (BOL) from inbound scale tickets to file with settlements.
  • Reconcile daily outbound tickets from all grain storage sites, ensuring each load has a trailer inspection report.
  • Facilitate effective communication between the company and the vendors and provide daily support to ensure that logistics follow up is completed.
  • Partner with Logistics department on reviewing processes to create consistency across sites.
  • Manage and match invoices related to rail freight.
  • Invoice match weekly freight sheets as needed.
  • Monitor carrier performance and maintain accurate load tracking.
  • Code accounts payable transactions and forward to the accounting team, ensuring accuracy and responsiveness is always prioritized.
  • Provide customer service related to accounts payable inquiries for the location.
  • Ensure timely and accurate processing of financial documents related to logistics.
  • Perform other duties and responsibilities assigned to support the company and its operational needs.


MINIMUM EDUCATION & WORK REQUIREMENTS:
  • High School diploma or general education degree (GED) required. 
  • 2+ years’ experience in an administrative, logistics, or accounting role.  
  • Past experience with rail freight operations and transportation preferred.  
  • Hands-on experience with Microsoft Dynamics 365 preferred.  
  • Ability to adjust schedule based on seasonality requirements during harvest.  


KNOWLEDGE, SKILLS, & ABILITIES:
  • Knowledge and understanding of basic principles, practices, and economics of logistics, accounting, and general administrative processes.  
  • Strong working knowledge of Microsoft Office software suite (Outlook, Excel, Word). 
  • Excellent organizational skills, attention to detail, and accuracy. 
  • Proven customer service skills with the ability to communicate effectively with internal and external stakeholders. 
  • Proven problem solver that can successfully and efficiently identify and solve problems by gathering and analyzing information and recommending alternative solutions.  
  • Ability to apply analytical, critical thinking, and complex problem-solving skills to drive solutions in an efficient and cost-effective manner.  
  • Ability to balance team and individual responsibilities in a fast-paced environment while contributing to maintaining a positive team spirit. Puts success of the team above their own interests and supports everyone's efforts to succeed.
