Reporting to the EVP, On Premise, you will provide high-level administrative support to the On Premise Leadership Team, ensuring seamless daily operations and effective coordination across key business activities. Your responsibilities will include managing complex calendars, coordinating meetings and travel (domestic and international), preparing PowerPoint presentations, facilitating internal communications, distributing reports, maintaining records, and overseeing monthly tracking reports. Additionally, you will support the EVPs direct reports travel bookings.
EXECUTIVE SUPPORT
Calendar and travel management for EVP, On Premise (domestic and international)
Plan and orchestrate meetings/conference calls across the region
Process forms and expense reports
Manage our staff meetings including agenda coordination and follow-up action items
EVENT AND MEETING COORDINATION
Lead the planning and production of all leadership level activities, including off-sites, workshops and team building events.
Maintain OnP calendar; coordinate regular and one-off meetings, develop meeting agendas, and draft and distribute meeting minutes
INTERNAL COMMUNICATIONS
Manage the communications calendar for all-hands and quarterly business updates
Provide document support to presenters
Work with RBNA Internal communications to cascade OnP relevant information
OFFICE SUPPORT AND REPORT COORDINATION
Document support: Word, PowerPoint, Excel, general formatting
Coordinate monthly reporting, tracking and distribution
Verify invoices, supporting the manager or administrative responsibility for budget management (FRE, SRE, TRE, budget closing, invoicing, tracking of budget, re-charges)
Maintain organized files/binders
Other administrative tasks as assigned (e.g., ordering office supplies, send FedEx)
Ad hoc assistance with important events and programs
3+ years of experience as an Administrative Assistant (supporting multiple leaders is a plus)
3+ years of experience coordinating large events and meetings
Proficiency in Microsoft Office: Outlook, PowerPoint, Excel and Word
Project Management experience
Bachelor's degree or equivalent work experience
Must be fluent in English, additional languages an advantage
This position is open to U.S. citizens, U.S. permanent residents, or individuals who are currently authorized to work in the United States on a valid visa.
The base salary range for this position is $64,080 - $96,120 + cash incentives. Actual salary offers may vary based on work experience. The base pay range is subject to change and may be modified.
