Role Name: Healthcare Virtual Receptionist
Schedule:
• 40+ hours/week, 6 days per week, 8:30 AM – 5:30 PM New York time includes 1hr-unpaid break

Join a thriving orthopedic and physical therapy practice as a Virtual Healthcare Receptionist, where you’ll be an essential part of delivering exceptional patient care through outstanding administrative support and communication. In this role, you’ll manage a dynamic, fast-paced environment handling patient inquiries, coordinating appointments, and ensuring smooth administrative operations for a practice that serves hundreds of patients weekly. This position offers the opportunity to grow within a healthcare setting while making a meaningful impact on patient care, all while working with a supportive team that values efficiency and excellent service.
Scope:
• 40+ hours per week
• 6 days per week coverage
• Working hours: 8:00 AM to 6:00 PM EST
• Reports to practice management team
• Handles approximately 150-200 patient interactions daily
• Three-month probationary period
• Supports practice serving 570+ patient visits weekly
Responsibilities:
• Handle high volume of incoming patient calls (150-200 daily)
• Respond to and manage patient communications via phone, email, and text messages
• Schedule and coordinate patient appointments using Zocdoc platform
• Process new patient intake and documentation
• Verify insurance information and maintain accurate patient records
• Update CRM systems with patient information and interaction details
• Manage administrative tasks related to patient care coordination
• Ensure all daily communications are properly addressed and resolved
• Book new patient appointments and manage existing appointment modifications
• Coordinate with in-office staff to ensure smooth patient flow
Requirements
• Strong customer service experience with proven track record
• Excellent verbal and written communication skills in English (Spanish a plus)
• Experience in healthcare or medical office environment preferred
• Proficiency in medical terminology and healthcare administrative procedures
• Strong attention to detail and ability to maintain accurate records
• Ability to handle high-volume workload while maintaining quality service
• Experience with healthcare scheduling software and CRM systems
• HIPAA compliance knowledge and commitment to patient privacy
• Professional phone manner and patient-first mindset
• Reliable internet connection and quiet work environment
