Business Development Coordinator

We are seeking an experienced and highly organized Business Development Coordinator to support the entire organization’s Sales and Marketing efforts. The ideal candidate will be exceptionally proficient with HubSpot CRM, experienced in both sales and marketing functions, and capable of driving operational excellence across our business development pipeline. 

 

This individual will manage the logging, reporting, and analysis of all sales activity for the company. They will work closely with team members to ensure data accuracy, timely updates, and consistent follow-through, while also developing actionable dashboards and reports for executive leadership. The role also includes support for marketing communications, appointment scheduling, and planning/coordinating sales-related events. 

 

Recommended Level: 

Mid-Level to Senior Coordinator (3–5+ years of experience) This role requires a high level of independence, attention to detail, and deep CRM expertise, making it most suitable for a seasoned professional. 

 

Key Responsibilities: 

Sales Activity Management & Reporting 

  • Maintain and manage the integrity of the sales pipeline within HubSpot CRM 
  • Log and track all sales activity for the organization’s team members 
  • Proactively follow up with team members on the status of deals and opportunities 
  • Create, refine, and deliver custom dashboards and reports to leadership 
  • Ensure consistent pipeline hygiene and accountability across the organization 

Sales & Marketing Systems Support 

  • Act as the internal HubSpot CRM expert for the company 
  • Optimize workflows, automations, and reporting structures in HubSpot 
  • Preferred: Experience with PandaDoc for proposals, quotes, and contracts 

Marketing Support & Communication 

  • Assist in the execution of general email marketing campaigns via HubSpot 
  • Schedule and confirm appointments, meetings, and demos for team members 
  • Support lead nurturing workflows and follow-up communications 

Event & Tradeshow Coordination 

  • Help coordinate logistics for sales events and trade shows 
  • Manage rentals, venues, meals, travel, accommodations, and vendor relationships 
  • Prepare event materials and coordinate follow-up post-event 

Required Skills & Qualifications: 

  • 3+ years of experience in a sales support, marketing coordination, or CRM administration role 
  • Advanced proficiency in HubSpot CRM, including sales and marketing tools 
  • Strong organizational and project management skills 
  • Excellent verbal and written communication skills 
  • Experience supporting cross-functional teams across a remote work environment 
  • Ability to manage multiple tasks and meet deadlines with minimal supervision 
  • Proficiency in Microsoft Office 365, including Excel, Outlook, and Teams 

 

Preferred Qualifications: 

  • Experience using PandaDoc or similar document automation platforms 
  • Background coordinating B2B events, conferences, or trade shows 
  • Understanding of marketing automation and inbound lead workflows
