Medical Virtual Assistant

About the Role

We are seeking a detail-oriented and experienced Medical Virtual Assistant with a strong background in medical billing, especially within a mental health setting. This role involves verifying patient insurance, processing claims and denials, handling patient inquiries, and supporting overall billing operations to ensure accurate and timely reimbursements.

The ideal candidate has a firm understanding of CPT codes, ICD-10 diagnosis codes, and billing processes specific to behavioral or mental health services.

Key Responsibilities

• Medical Billing & Coding:
• Submit claims for mental health procedures with correct CPT and ICD-10 diagnosis codes.
• Ensure accuracy and compliance with payer requirements.

• Insurance Verification & Follow-Up:
• Investigate patient eligibility and benefits by contacting insurance providers.
• Confirm coverage prior to services and follow up on claim status or denial reasons.

• Denials & Appeals:
• Prepare and submit claim appeals via fax or mail for denied services.
• Track resubmissions and follow through to resolution.

• Patient Communication:
• Respond to patient billing inquiries and explain financial responsibilities clearly and professionally.
• Contact patients whose coverage is invalid or missing and work with providers to update records.

• Coordination with Providers:
• Communicate with doctors’ offices and clinicians to clarify codes, coverage, or patient data as needed.

• Medical Record Support:
• Transcribe or update medical records for billing or documentation purposes.

Preferred Qualifications

• Proven experience in medical billing, preferably in mental health or behavioral health.
• Strong knowledge of insurance claims processing, appeals, and payer follow-up.
• Familiarity with HIPAA regulations and confidentiality protocols.
• Experience working with EHR systems and medical billing software.
• Excellent communication and problem-solving skills.
• High attention to detail and ability to work independently in a remote setting.
